Despatch Coordinator

We are seeking an organised and proactive Despatch Coordinator to join our team. In this full-time position, you will play a key role in coordinating daily despatch operations, ensuring customer orders are accurately prepared, scheduled, and delivered on time.

All Purpose Pumps is medium-sized privately-owned company of approx. 160 team members, and has been operating since 1989.  With a passion for quality pump solutions and systems, we partner with plumbers, fire sprinkler contractors, builders, building managers, and consultants across a variety of industries.

All Purpose Pumps (APP) has dedicated modern offices and manufacturing facilities in both Hoppers Crossing and Corio, Victoria.

This is a permanent, full time (40 hours per week) ongoing role with RDOs and regular overtime and competitive pay based on experience.

Working closely with warehouse, production, transport providers, and customers, you will be responsible for maintaining smooth logistics processes while delivering exceptional service.

• Coordinate and schedule daily despatch activities in Microsoft BC.

• Process customer orders and delivery documentation accurately.

• Liaise with transport providers to ensure timely deliveries.

• Monitor order status and proactively communicate updates to customers and internal stakeholders.

• Prepare shipping paperwork, delivery dockets, manifests, and freight documentation.

• Maintain accurate inventory and despatch records.

• Resolve delivery and freight issues in a timely and professional manner.

• Support warehouse and operational teams to achieve service and delivery targets.

• Ensure compliance with workplace health and safety requirements.

To be successful in this role, you will have:

• Previous experience in a despatch, logistics, transport, warehouse coordination, or customer service role.

• Strong administrative and organisational skills.

• Excellent communication and stakeholder management abilities.

• High attention to detail and accuracy.

• Ability to prioritise tasks and work effectively in a fast-paced environment.

• Proficiency in Microsoft Office applications, particularly Outlook and Excel.

• Experience using ERP, warehouse management, or transport management systems will be highly regarded.
