Admin Officer WA

The Admin Officer is responsible for the seamless day-to-day operation and administration of trade workshops and academic support across all WA campuses. This multifaceted role ensures operational readiness, efficient inventory control, equipment maintenance, and proactive stakeholder engagement to support practical delivery and academic continuity.

Key Accountabilities:

• Manage daily operational support for Carpentry, Automotive, Bricklaying, and Civil Construction workshops, ensuring smooth delivery of practical training sessions.
• Oversee staff coordination, campus readiness, and compliance with safety and operational protocols.
• Monitor and maintain optimal stock levels of tools, equipment, consumables, and materials across all Western Australia campuses.
• Coordinate maintenance schedules, servicing, and repairs of equipment and workshop facilities.
• Manage procurement processes for tools and resources, including ordering, tracking, and confirming timely delivery to support training schedules.
• Oversee logistics and site coordination for class times, including monitoring start/finish times and managing parking arrangements.
• Escalate operational or scheduling concerns promptly to the National Program Manager.
• Perform general campus-related administrative duties as required by the Campus or Program Manager.
• Distributing notices, memos, and schedules efficiently.
• Supporting campus events, meetings, and ceremonies.
• Arrange classrooms, equipment, and AV systems for training sessions.
• Monitor stock of training materials, stationery, and student kits.
• Report and follow up on campus repairs or service requests.
• Assist in conducting fire drills and maintaining WHS records.
• Monitor attendance records, course progression, and academic outcomes.
• Ensure compliance with Standards for RTOs 2025, AVETMISS, and other regulatory requirements.
• Assist with trainer schedules, classroom preparation, and resource procurement.
• Conduct safety inductions and maintain WHS checklists and emergency contact logs.
• Display and distribute updated institutional policies and procedures.
• Prepare and maintain simulation labs for IT (e.g., networking labs, hardware setups) and Community Services (e.g., mock aged care rooms, disability support stations).

Qualifications and Skills:

• Prior experience in workshop or vocational education settings is preferred.
• · Strong organizational and time-management skills.
• · Ability to multitask and manage competing priorities in a fast-paced environment.
• · Excellent communication and interpersonal abilities.
• · Proficiency in inventory systems and basic administrative tools (Microsoft Office Suite, etc.).
