CRM Coordinator

OVERVIEW

We are looking for a detail-oriented and proactive CRM Coordinator to join our Digital team, supporting the build, execution, and reporting of email and SMS activity across all three brands: Aje, Aje Studio, and Aje Athletica. This is a hands-on execution role suited to someone early in their CRM career who wants to build deep platform and campaign expertise while contributing to high-visibility loyalty and clientelling initiatives.

Reporting to the CRM Executive, you will own the day-to-day build of email campaigns across local and international markets, partner closely with Marketing and Digital to shape seasonal content themes, and provide the daily, weekly, and monthly reporting that keeps the wider team informed on channel performance.

KEY RESPONSIBILITIES

Email & SMS Build Execution

• Build eDM and SMS campaigns in Klaviyo across Aje, Aje Studio, and Aje Athletica, from brief through to scheduled send.
• Execute local (AU/NZ) and international sends, ensuring content, imagery, offers, and timing are correctly localised by market.
• QA all email and SMS builds prior to send - copy, links, personalisation, rendering across devices, and audience targeting.
• Maintain the email build schedule in line with the GTM and trading calendar, flagging conflicts or capacity risks early.
• Support maintenance of core lifecycle flows (welcome, onboarding, engagement, reactivation, win-back) under the guidance of the CRM Executive.

Content Themes & Cross-Functional Planning

• Work alongside Marketing and Digital to develop email content themes each cycle, ensuring alignment with brand campaigns, product launches, and trading priorities.
• Translate brand and campaign briefs into a structured email content calendar, sequencing themes logically across the send cadence.
• Coordinate with creative and copy contacts to ensure assets and messaging are secured in time for scheduled builds.
• Bring forward theme and content ideas proactively, informed by past campaign performance and upcoming commercial moments.

Clientelling & Loyalty Support

• Support the CRM Executive and Head of Digital Marketing on the delivery of the Clientelling and Loyalty programme, including CRM-side setup, testing, and rollout tasks.
• Build and QA loyalty and clientelling-related communications, including tiering, rewards, and milestone messaging.
• Assist in maintaining accurate customer and loyalty data flows into Klaviyo, escalating discrepancies to the CRM Executive.
• Help document processes and playbooks as the Clientelling and Loyalty project matures, to support consistent execution over time.

Reporting & Insights

• Produce daily sends and performance snapshots across all three brands, covering key sends, deliverability, and any issues requiring attention.
• Compile weekly CRM performance reporting, including open rate, click rate, conversion, and revenue attribution by brand and market.
• Prepare monthly CRM reporting summaries for the CRM Executive, highlighting trends, wins, and areas for optimisation.
• Maintain consistent, accurate reporting templates so performance is always visible at daily, weekly, and monthly cadence.
• Flag notable shifts in subscriber health, engagement, or campaign results promptly to the CRM Executive.

Collaboration & Communication

• Work closely with the CRM Executive to ensure build capacity is planned against the trading and marketing calendar.
• Liaise with Digital, Creative, and Brand teams to ensure all builds are on-brand and commercially aligned.
• Support the CRM Executive in team updates with clear, concise reporting on build status, upcoming activity, and Clientelling and Loyalty progress.

KEY COMPETENCIES

• 1 year experience in CRM, email marketing, or digital marketing execution; fashion, lifestyle, or consumer retail experience a plus.
• Familiarity with Klaviyo or a comparable ESP is highly regarded, though not essential.
• Excellent attention to detail, particularly around QA and campaign accuracy.
• Comfortable working with data and reporting; able to compile clear, accurate performance summaries.
• Highly organised, able to manage multiple builds and deadlines across brands and markets simultaneously.
• Strong written communicator with a good eye for copy, layout, and audience relevance.
• A proactive, solutions-first mindset with eagerness to learn and grow into a broader CRM remit over time.
