Fleet Administrator

We're a fast-growing allied health business on a mission to connect people to healthier lives, and we're looking for an organised and proactive Fleet Administrator to support the day-to-day administration of our national vehicle fleet. 

Working closely with the CFO, internal stakeholders and our external fleet management providers, you'll help keep fleet records accurate, coordinate vehicle-related requests, and ensure administrative processes run smoothly. Our fleet management partners undertake much of the specialist fleet management work, while you'll play a key role in coordination, communication and administration. 

This permanent part-time role (0.5 FTE / 20 hours per week) is ideal for someone who enjoys working in a fast-paced environment, managing multiple priorities, and keeping systems and processes organised.

What you’ll be doing: 

• Managing the fleet inbox and responding to vehicle-related enquiries. 
• Maintaining accurate records, databases, asset registers and documentation. 
• Coordinating vehicle orders, deliveries, changeovers and returns with external providers. 
• Liaising with employees, managers and fleet management companies to ensure requests are actioned promptly. 
• Processing invoices, fuel card requests, vehicle documentation and related administrative tasks. 
• Assisting with accident reporting, insurance documentation and infringement processing. 
• Preparing reports and maintaining records to support compliance and audit requirements. 
• Monitoring key dates such as registrations, servicing and vehicle replacements. 
• Supporting the CFO and broader team with fleet-related administration and reporting. 
• Assisting with the development and maintenance of fleet procedures and documentation. 

What we’re looking for: 

• Previous experience in an administrative, coordination or office support role. 
• Exceptional organisational skills and the ability to manage competing priorities. 
• Strong attention to detail and commitment to maintaining accurate records. 
• Excellent written and verbal communication skills. 
• Confidence liaising with a variety of stakeholders and service providers. 
• Intermediate Microsoft Office skills, particularly Excel and Outlook. 
• A proactive and solutions-focused approach to work. 
• Experience supporting fleet operations, asset management, facilities or logistics administration will be highly regarded but is not essential. 
• Experience working with databases, CRM systems or fleet management systems is advantageous.
