We're looking for a confident, friendly and organised Appointment Setting, Reception & Sales Coordinator to join our growing team.
This is much more than a reception role. You'll be one of the first people families speak with when they enquire, one of the first faces they meet when they visit our academy, and an important part of creating an outstanding customer experience from the very first phone call through to enrolment.
We're ideally looking for someone with previous experience in a customer-facing role, particularly within:
Reception/Sales at Gyms or fitness centres
Reception/Sales Allied health or medical reception
Reception or front desk roles
Reception/Sales Membership or customer service positions
If you're confident speaking on the phone, enjoy helping people, have excellent communication skills and can consistently follow systems and procedures, we'd love to hear from you.
About the RoleThis role combines appointment setting, reception, sales and administration.
Your responsibilities will include:
Responding to new enquiries by phone, SMS and email
Booking trial lessons
Following up prospective families
Conducting signups after trial lessons
Welcoming families at reception
Assisting members with enquiries
Processing enrolments and administration
Maintaining accurate CRM records
Supporting member engagement and retention
Every day is different, but your primary goal is to provide an outstanding experience for every family that contacts Kansai Karate.
Please Note: ⚠️ You'll spend a significant portion of your day speaking with prospective families by phone.
If you're not comfortable making outbound calls, handling objections and confidently guiding conversations, this position is not the right fit for you!
What We're Looking ForThe ideal candidate will:
Have previous reception or customer service experience
Be extremely confident speaking on the phone
Enjoy talking with people and building relationships
Be organised and able to multitask
Follow systems and procedures consistently
Have excellent communication skills
Present themselves professionally
Have strong computer skills
Be reliable, positive and eager to learn
Sales experience is an advantage but is not essential. We're happy to train the right person with the right attitude.
Working HoursThis is a part-time position, working approximately 19 hours per week.
The role primarily consists of afternoon and evening shifts, with Saturday work as required.
During your initial training period, you'll complete your onboarding across our Sumner Park and Springfield locations.
Following successful completion of your probation and once you've demonstrated competency in the role, there is a genuine opportunity to transition into a full-time position as Kansai Karate continues to grow.
Some flexibility may be required from time to time to assist with business growth, events and team support.

Previous experience in a gym, childcare centre, allied health clinic or similar customer-facing environment will be highly regarded.
