Program Administrator

The Programs Administrator is responsible for providing a high standard of administrative support to the clinical and operational management team within Uniting Recovery programs - community mental health services.   

• headspace Early Psychosis (based in Lyneham) and Trauma Intervention, Development and Emotional Support (TIDES) (based in Turner)
• Part time, 4 days per week position
• Work across two locations – 2 days in Lyneham and 2 days in Turner
• Health Professional Support services Level 5; $35.44 per hour + Super + Salary package benefits up to $18,500 per annum

About headspace Early Psychosis (EP) & TIDES

The headspace Early Psychosis (hEP) Program supports young people aged 12–25 experiencing, or at risk of, a first episode of psychosis. TIDES (Treatment and Intervention for Distressing Emerging Symptoms) is a trauma-informed youth mental health service that provides multidisciplinary support to help young people affected by complex trauma, and their families, build safety, wellbeing and recovery.

Duties and responsibilities include but are not limited to:

• Deliver professional reception services and provide a welcoming experience for consumers and visitors.
• Manage appointments, incoming enquiries, voicemail, fax and shared inboxes.
• Coordinate site maintenance requests and day-to-day office operations.
• Manage the site vehicle fleet, including servicing, cleaning, fuel, logbooks and vehicle bookings.
• Process purchasing requests and invoices.
• Maintain accurate records and support reporting requirements.
• High-level of customer service to both internal and external customers
• Flexible approach, including the ability to work autonomously, exercise initiative, and have a proactive approach to problem resolution
• Demonstrate a youth-friendly, client-centred and non-judgemental approach, ensuring young people feel safe and welcome when accessing headspace and TIDES services.

About you, your experience and skills 

• Three (3) or more years’ experience in administration or medical reception
• Experience working in mental health service
• Experience processing invoices and general finance 
• Capability in Word, Excel, Outlook, PowerPoint and other IT applications
• Excellent written and oral communication skills and the ability to communicate and liaise effectively and sensitively, particularly with young people
• Ability to balance competing priorities, manage multiple tasks and meet deadlines.
• Ability to work both independently and collaboratively within a multidisciplinary team.
• Demonstrated initiative, flexibility and a proactive approach to problem-solving.
• Current Driver Licence and confidence in driving fleet vehicles
