As we continue to expand our services across Tasmania, we are seeking a motivated and organised Administration Officer to join our growing team in Hobart.

About the Role

As an Administration Officer, you will play a key role in supporting the day-to-day operations of the organisation. You will work closely with management, support coordinators, support workers, participants, and external stakeholders to ensure efficient administrative processes and exceptional customer service.

This role is ideal for someone who is highly organised, proactive, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities

• Provide general administrative support to the management team.
• Manage incoming phone calls, emails, and enquiries professionally and efficiently.
• Coordinate staff recruitment, onboarding, and compliance documentation.
• Prepare employment documentation, contracts, and administrative correspondence.
• Develop and manage staff rosters, coordinate shift allocations, and assist with workforce scheduling.
• Maintain participant and employee records, ensuring documentation is accurate, confidential, and up to date.
• Prepare reports, meeting minutes, letters, and other business documents.
• Perform data entry, maintain records, and update information within the organisation's CRM and administrative systems.
• Assist with invoice processing and general office administration.
• Liaise with participants, families, support workers, allied health professionals, and external stakeholders.
• Ensure compliance with NDIS Practice Standards, organisational policies, and relevant legislation.
• Support continuous improvement initiatives and contribute to the efficient operation of the organisation.

Essential Requirements

• Previous experience in an Administration Officer, Office Administrator, or similar administrative role.
• Excellent organisational and time management skills with strong attention to detail.
• Excellent verbal and written communication skills.
• Strong computer skills, including Microsoft Office Suite (Word, Excel, Outlook) and experience using CRM or client management systems.
• Ability to manage competing priorities and work independently with minimal supervision.
• Professional, reliable, and customer-focused approach.
• Current National Police Check (or willingness to obtain one).
• Current Working with Vulnerable People Registration (Tasmania), or willingness to obtain.
• Current Australian Driver Licence is desirable.

Desirable Qualifications & Experience

• Previous experience within the NDIS, disability, healthcare, aged care, or community services sector.
• Knowledge of NDIS processes, participant records, and compliance requirements.
• Certificate III or IV in Business Administration, Business, Community Services, or a related qualification.
• Experience with staff rostering, workforce coordination, and general office administration.
