Project Coordinator

BUILDXWISE is a fast-growing residential builder within the XWISE Group, delivering detached homes, medium-density developments and investor-focused housing across Victoria.

We’re building a smarter, technology-driven way to deliver homes by bringing Land Development, Capital, Sales and Construction together under one roof. With a strong focus on systems, automation, efficiency and customer outcomes, we’re building a scalable business for long-term growth.

We’re looking for an experienced Project Administrator / Coordinator to join our growing team.

Reporting directly to the Director and working closely with Sales, Estimating, Design and Construction, you’ll coordinate residential projects from contract signing through to completion.

This varied role will cover project administration, contracts, pre-site coordination, client liaison and construction administration, while supporting our House & Land program and helping deliver an exceptional client experience.

You will also play an important role in developing BXW’s systems, processes and technology as the business grows.

Key Responsibilities

• Coordinate residential projects from contract through to completion.

• Manage project information, milestones, documentation and key dates.

• Prepare contracts and supporting documentation.

• Coordinate pre-site approvals, selections, variations and project setup.

• Liaise with clients, consultants, developers and suppliers.

• Support project handovers and warranty administration.

• Work closely with Sales, Estimating, Design and Construction teams.

• Assist with House & Land packages through the Evolve Sales Portal.

• Maintain accurate project records, reports and systems.

• Identify opportunities to improve processes, automation and efficiency.

• Help develop scalable systems that support business growth

About You

• 2–5+ years’ experience in residential construction administration, project coordination, contracts administration, client liaison or pre-site coordination.

• Experience managing residential projects from contract to completion.

• Strong understanding of the Australian residential construction process.

• Experience with construction software such as Evolve, Databuild, Buildxact, Framework or similar.

• Strong Microsoft Office skills, particularly Excel, Outlook and Word.

• Excellent organisation, communication and time management skills.

• High attention to detail and a proactive approach to problem-solving.

• A genuine interest in improving systems, processes and customer outcomes.

• Experience with a volume/production builder, Evolve, House & Land packages, and Victorian residential building contracts is highly regarded.
