About the role
Permanent part-time | 15–20 hours across five weekdays | SCHADS Level 4 | CheltenhamCheltenham Community Centre is seeking an experienced and highly organised Senior Administration and Project Officer to support our managers and Program Coordinators across grants, projects, governance, reporting and day-to-day administration.This position plays an important role in keeping organisational priorities and funded projects organised, documented and progressing. Success in the role will mean managers and project leads have accurate information, practical systems, professionally prepared documents and timely administrative support.The role reports to the Operations Manager and also supports work allocated by the General Manager. It will initially be based on-site, with a hybrid arrangement potentially available once the employee is established in the position.ResponsibilitiesProvide senior administrative support to the Operations Manager, General Manager and Program Coordinators.Maintain project trackers, schedules, action lists, evidence, reporting calendars and electronic records.Monitor project milestones and follow up agreed actions and deadlines.Collate project data, expenditure information and evidence for reports and grant acquittals.Prepare and format correspondence, minutes, reports, presentations, policies, procedures and handbooks.Incorporate feedback from managers and the Board into organisational documents and maintain accurate version control.Coordinate meetings, bookings, registrations, suppliers and other project logistics.Maintain registers, templates, spreadsheets and administrative systems.Complete routine administration, including data entry, filing, scanning and record maintenance.Identify missing information, risks and opportunities to improve administrative systems.Communicate professionally with staff, volunteers, participants, partners and suppliers.Qualifications and experienceA relevant qualification in business administration, project management, community services or a related field, and/or substantial relevant experience.Experience providing high-level administrative, executive or project support.Strong organisational skills and the ability to manage competing priorities, deadlines and both routine and complex work.Highly developed written communication and document-management skills.Advanced capability in Microsoft Word, Excel, Outlook, Teams and shared document systems.Experience developing and maintaining project trackers, registers, templates and reporting tools.Strong analytical, problem-solving and professional judgement.Experience supporting projects, preferably grant-funded projects.Well-developed interpersonal skills and the ability to work respectfully with people from diverse backgrounds.Discretion and sound understanding of confidentiality, delegated authority and appropriate escalation.How to applyPlease email the following to Operations Manager Kim Wareham at kimw@chelt.com.au by Sunday 30 August 2026:your current resume;one de-identified Word document you have prepared, edited or professionally formatted; andone de-identified Excel spreadsheet you have developed or maintained, such as a grant or project tracker, register or reporting tool.For each sample, briefly explain its purpose, your contribution and any AI or other tools used.
