Human Resources and Workforce Co-ordinator

We are seeking an experienced and highly organised Human Resources & Workforce Coordinator to join our team in Mackay.

This is a hands-on, varied role supporting our workforce across HR, employee compliance, workforce coordination, recruitment and WHS administration. Working closely with Directors, managers, employees, contractors and clients, you will play an important role in ensuring our people are supported, our workforce remains compliant and our operations run smoothly.

With a workforce of approximately 40 employees and operations supporting the mining and industrial sectors, this role would suit an experienced HR professional who enjoys being involved across the full employee lifecycle and is confident balancing people-focused responsibilities with systems, compliance and administration.

About the Role

As our Human Resources & Workforce Coordinator, you will be responsible for a diverse range of HR, workforce and compliance activities, including:

·       Providing practical HR advice and support to managers and employees on employee relations, performance and general employment matters

·       Supporting HR case management, including investigations, grievances, performance management and disciplinary processes

·       Managing employee and contractor compliance requirements for mine and client sites

·       Coordinating site inductions, onboarding and pre-employment requirements

·       Maintaining and updating client portals, compliance systems, registers and employee records

·       Monitoring compliance requirements and conducting regular audits and follow-up of outstanding items

·       Coordinating medical bookings, medical requirements and other employee compliance activities

·       Coordinating workers compensation claims, injury management and return-to-work processes

·       Managing recruitment and selection activities from advertising and screening through to interviews, reference checks, offers and onboarding

·       Preparing employment contracts, letters, position descriptions and other HR documentation

·       Coordinating employee onboarding, inductions and probation processes

·       Providing day-to-day HR support to employees and managers across the business

·       Supporting performance, learning and development and employee engagement initiatives

·       Maintaining accurate and confidential HR and WHS records, documentation and reporting

·       Assisting with WHS compliance, documentation and administration

·       Coordinating workforce movements, including job scheduling, travel and accommodation where required

·       Assisting with vehicle compliance and associated documentation

·       Developing practical HR resources, user guides, training materials and supporting documentation

·       Assisting employees and managers with HR systems and providing training and guidance where required

·       Contributing to HR policy development, reporting, projects and continuous improvement initiatives

·       Identifying opportunities to improve HR processes, systems, compliance and the overall employee experience

·       Providing general administrative support to the business as required

About You

We are looking for someone who genuinely enjoys HR and working with people, while also having a strong interest in the systems, processes and compliance requirements that support a successful workforce.

You will be approachable, professional and confident providing practical advice across all levels of the organisation. You will also be comfortable handling sensitive employee matters, working independently and taking ownership of tasks from start to finish.

To be successful in this role, you will have:

·       Minimum 2–3 years' experience in an HR Coordinator, HR Officer, HR Generalist or similar role

·       Demonstrated experience across employee relations, recruitment, onboarding, compliance and general HR practices

·       Strong knowledge of Australian employment legislation, Awards and contemporary HR practices

·       Experience supporting investigations, grievances, performance management and disciplinary processes

·       Experience managing recruitment and selection processes end-to-end

·       Strong understanding of employee compliance requirements, ideally within a mining, industrial or contracting environment

·       Experience with mine site inductions, client portals or workforce compliance systems will be highly regarded

·       Experience coordinating workers compensation, injury management and return-to-work processes

·       Strong Microsoft 365 skills and general administrative capability

·       Excellent organisational and time management skills, with the ability to manage competing priorities

·       High attention to detail and a strong commitment to accuracy and compliance

·       Excellent written and verbal communication skills

·       Strong relationship-building skills and the confidence to work with employees, managers and Directors

·       Discretion, integrity and the ability to handle confidential and sensitive information appropriately

·       A proactive, practical and solutions-focused approach

·       The ability to work autonomously while knowing when to seek advice or escalate matters

·       A willingness to learn, improve processes and contribute ideas

A qualification in Human Resources, Business or a related discipline will be highly regarded.

Experience within the mining, resources, industrial, contracting or similar sectors, and exposure to WHS compliance, will also be advantageous.
