About the role
We’re looking for an exceptionally capable Office Manager to take ownership of our busy Port Hedland office and become a key part of our growing team at Kariyarra Aboriginal Corporation RNTBC (KAC RNTBC). The Office Manager’s primary function is to support KAC RNTBC administratively, reporting directly to the General Manager. This is a senior administration role with plenty of autonomy. You’ll be at the centre of our day-to-day operations and will have a high-level knowledge and understanding of KAC RNTBC and its systems and processes with internal staff and external stakeholders where appropriate as well as being responsible for the supervision and management of administration employees.
The Office Manager will:
Manage all general KAC RNTBC administration;
Manage the South Hedland KAC RNTBC office, ensuring it is kept to high level of cleanliness and operates effectively; and
Assist with the management, supervision and development of administration employees.
Support the General Manager in the day-to-day operations of KAC RNTBC.
Key responsibilities:
South Hedland Office: Manage the general office duties and daily operations of the South Hedland office
Human Resource database management: Maintain and manage the KAC RNTBC human resource database systems, being HR Pays Solutions and Logiqc;
Management and supervision: Be the direct reporting line for the Heritage and Environment Administrator, Future Acts Administrator, Administration Assistant, and the Receptionist, as well as participating in the performance reviews and professional development of these employees, as required.
Confidentiality: Maintain strict confidentiality and professionalism when dealing with all ingoing and outgoing communications (e.g. telephone, electronic, hard copy and in person) both with members and other internal and external parties;
Membership: Manage the membership of KAC RNTBC including all administrative and compliance requirements while interaction with all KAC RNTBC members in a respectful and culturally appropriate manner;
Policies and Procedures: Manage all policies and procedures for KAC RNTBC including updating, reviewing, and version control:
Corporation Assets and Housing; Manage all corporate assets and housing including the servicing, repair and maintenance; and
Other Duties: Any other duties that may be assigned by the General Manager from time to time
Skills and Qualifications
Qualifications in Office/Business Management or similar or equivalent experience;
Demonstrated experience in in a similar role providing office management and high-level administrative support to senior management;
Demonstrated experience in operational administration in a senior and confidential environment;
Demonstrated ability to work independently and flexibly as well working collaboratively as part of a team;
High level of interpersonal skills with the ability to establish and maintain positive and productive relationships with other employees, major partners and stakeholders;
Ability to effectively lead, manage and mentor direct reports and other KAC RNTBC staff as required;
Communication: Excellent oral and written communication skills are required for liaising with various parties.
Software proficiency: Competence with standard office software like MS Word and Excel and ability to utilise other necessary databases is necessary.
Sound knowledge of risk management practices and Health, Safety and Environment requirements.
