About the role
Reporting to the Marketing & Fundraising Manager, this role drives backend fundraising efficiency through accurate CRM management, campaign evaluation, data analysis, and structured reporting. Serves as a hands-on grant writer and provides vital operational support to the Marketing & Fundraising Manager across partner/donor relations, campaign tracking, and administrative stewardship.
Key responsibilities
Maintain and update KCA's CRM system, ensuring data accuracy, integrity and compliance with permissions and policies
Configure CRM workflows and database structures to streamline communications, donor tracking, and digital integrations
Generate structured, repeatable reports on campaign performance, donor engagement, and conversion metrics
Perform administrative evaluations on completed campaigns, compiling performance data to inform future strategies
Research and identify potential grant opportunities, trusts, and foundations aligned with KCA priorities
Write, prepare, and submit grant applications and collate all required supporting documentation
Track active grants, manage deadlines, and assemble timely acquittal and evaluation reports
Provide administrative and operational support to the Manager in handling partner and donor relationships
Coordinate donor stewardship tasks, including thank-you communications, receipting, and sending program updates
Handle administrative support for onsite collection boxes, donation channels, and campaign collateral
About you
1–3+ years of experience in CRM administration, grant writing, reporting, or data-focused operations (NFP background preferred)
Hands-on grant writing experience: Proven ability to research, write, submit, and acquit grants independently
Strong CRM & technical proficiency: Ability to handle databases, generate key reports, and preserve data integrity
Analytical skills: Experience tracking metrics, compiling post-campaign evaluation data, and presenting actionable summaries
Self-motivated with exceptional time-management skills to balance competing grant deadlines, reporting cycles, and daily tasks
Friendly, respectful, and clear communication style for donor interaction and collaborative teamwork
