Client Experience & Booking Coordinator

About the role

We are looking for a warm, energetic and highly organised Client Experience & IV Booking Coordinator to become an important part of our team. This is much more than a traditional front-desk position. The role combines client care, appointment coordination, sales and administration. You will often be the first person a client speaks with, so your ability to build trust, understand their needs and confidently guide them through our booking process will be essential. You will coordinate IV appointments across both our clinic and mobile service, manage enquiries, nurture prospective clients and ensure every booking runs smoothly.

Key responsibilities

• Provide a warm, professional and personalised experience for every client.

• Respond promptly to phone, email, website and social media enquiries.

• Build rapport with prospective and existing clients and take the time to understand their needs.

• Explain our services clearly and confidently while remaining within the appropriate non-clinical scope of the role.

• Convert suitable enquiries into confirmed appointments through genuine, helpful and professional conversations.

• Coordinate bookings for both in-clinic and mobile IV appointments.

• Manage practitioner availability, appointment changes, cancellations and waiting lists.

• Coordinate mobile appointment details, including locations, travel times and scheduling requirements.

• Follow up new enquiries and nurture prospective clients who are considering booking.

• Welcome clients to the clinic and ensure they feel comfortable and well cared for.
