About the role

As the Transport Administrator, you will play a critical role in supporting transport operations, ensuring compliance requirements are met, coordinating deliveries and collections, and assisting customers and drivers onsite. This is an excellent opportunity for someone seeking an entry-level position within the transport industry, with training provided and opportunities for career development

Key responsibilities

• Maintain accurate transport records, documentation and filing.

• Assist with data entry and ensure transport information is accurately maintained within company operating systems.

• Maintain transport spreadsheets, registers and trackers as required.

• Assist with the preparation of daily transport paperwork and documentation.

• Check Proof of Delivery (POD) documentation is completed correctly, including signatures, dates and relevant references, and follow up drivers for outstanding PODs or delivery paperwork.

• Assist with pre-start and fatigue management documentation, including following up missing driver fatigue break records and vehicle pre-starts.

• Maintain driver licence, training and competency records as required.

• Record vehicle defects and ensure they are communicated to the appropriate person for action.

• Maintain subcontractor details, rates and supporting documentation.

• Follow up transport suppliers for outstanding PODs, invoices and other required documentation.

• Provide general administrative support to the Transport team.

• Oversee and maintain WA Heavy Vehicle Accreditation compliance documentation and records.

• Maintain Chain of Responsibility (CoR) compliance documentation and records.
  

About you

• Previous administration, customer service, retail, hospitality, or office experience is advantageous but not essential.

• Strong attention to detail and accuracy.

• Good computer skills, including Microsoft Outlook, Word, and Excel.

• Excellent verbal and written communication skills.

• Strong organisational and time management abilities.

• A proactive approach and willingness to learn new systems and processes.

• Ability to work both independently and as part of a team.

• A professional and friendly attitude when dealing with customers, drivers, and suppliers.

• Able to pass pre-employment medical and drug and alcohol screening.
