About HEQS Furniture
HEQS Furniture has been importing and distributing furniture, appliances and homewares across Australia since 2007. We supply government departments, aged care and healthcare providers, hospitality groups, not-for-profits, education and national retail. Our Government and Commercial division is growing, and we are creating a dedicated Tender Writer role to own our bid submissions end to end.
About the role
Based at our Smithfield NSW head office and reporting to the National Sales Manager, you are the person who turns an opportunity into a compliant, persuasive, on-time submission. You own the document, the deadline and the quality. This is a writing, research and submission management role. There is no cold calling, no territory and no on-road selling.
Why this role needs a strong researcher
Government and commercial tenders are won or lost on detail. One missed schedule, one unanswered sub-question or one wrong compliance form can void an otherwise strong bid. We need someone who reads every line of the specification, tracks every requirement through to an answer, and verifies rather than assumes.
What you will do
Monitor AusTender, buy.nsw, VendorPanel, TenderLink and state and local government portals for relevant furniture, FFE and fitout opportunities
Pull apart tender documentation and build compliance matrices, response schedules and submission plans so no requirement is missed
Research each buyer, project and specification in depth, including standards, certifications and past contract history
Write clear, persuasive responses to RFTs, EOIs, RFPs, RFQs and panel applications
Use AI tools responsibly to speed up research, drafting and document review, then fact-check and edit every output before it goes near a submission
Build and maintain a reusable content library: capability statements, past project references, methodology, WHS, quality, modern slavery and sustainability responses
Coordinate input from sales, product, logistics and finance so internal deadlines are met
Proofread, format and quality check every submission before lodgement
Manage portal registrations, supplier prequalification and panel renewals
Record bid outcomes and run win and loss reviews to lift our strike rate
Essential
Minimum 3 years writing tenders or bids in Australia
A track record of submissions lodged on time and fully compliant
Genuinely strong research skills, with the discipline to verify detail rather than assume it
Comfortable using AI tools such as ChatGPT, Copilot or Claude as a research and drafting aid, and clear-eyed about checking their output
Outstanding written English, with the ability to turn technical detail into a persuasive plain English answer
Strong Microsoft Word skills including styles, templates and long document formatting, plus solid Excel
Highly organised and deadline driven, comfortable running several bids at once
Full working rights in Australia
Highly regarded
Experience with FFE (furniture, fixtures and equipment), furniture, fitout, construction, aged care, healthcare, education or hospitality contracts
Familiarity with AusTender, buy.nsw, VendorPanel, TenderLink or similar portals
InDesign or advanced document design skills
APMP membership or a bid and proposal qualification

$70,000 to $85,000 plus superannuation, negotiable on experience
