Reception - Team Leader

We’re looking for a kind-hearted, organised, and passionate individual to join our close-knit team as a Reception Team Leader! Our practice, nestled in the beautiful Manchester Unity Building, is more than just a workplace – it’s a place where we all come together to make a difference in our patients’ lives.

This is a rewarding, full-time position that works alongside our senior managers to oversee and support multiple reception teams. This role combines hands-on reception duties with staff supervision, workflow coordination and cross-functional support to ensure smooth clinic operations and an efficient patient flow. The successful candidate will work full-time across 4 days instead of 5.

Here’s What You’ll Be Doing:

• Helping our patients feel right at home from the moment they walk in, with a warm smile and kind words
• Leading a wonderful team of over 10 receptionists, offering support and guidance to help them succeed and feel appreciated
• Coordinating multidisciplinary treatment plans, making sure each patient’s care is seamless and well-organised
• Assisting patients with appointments, claims, and accounts, always with a friendly, reassuring approach
• Building meaningful, caring relationships with our patients, practitioners, and leadership team
• Managing patient accounts and assisting with debt recovery in a gentle, professional way
• Training new team members with patience, kindness, and encouragement as they settle into their roles
• Provide operational support and leadership assistance across departments as required
• Suggesting ways to improve processes, making things smoother and easier for everyone
• Taking care of administrative tasks like data entry and mailing with a personal touch

Smile Solutions, "Melbourne's Home of Dentistry"™, is located in the magnificent Manchester Unity Building in the heart of Melbourne's CBD. We occupy four entire levels, plus the tower, all of which are of great significance within the art deco movement and Australia's national architectural heritage. We are a multidisciplinary practice, home to 60 practitioners, 20 of which are board registered specialists in the fields of oral surgery, endodontics, orthodontics, periodontics and prosthodontics.
