Specialist Medical Receptionist – Full Time

Due to an internal promotion, we have an exciting opportunity for a professional, organised, and patient-focused Specialist Medical Receptionist to join our friendly multidisciplinary vascular specialist team.

This full-time position (Monday to Friday, 9:00 am – 5:00 pm) will primarily support our diagnostic imaging (ultrasound) service, where you will play a key role in ensuring every patient receives a warm, professional, and seamless experience. Based in our bright, modern consulting rooms in Subiaco, you will enjoy a convenient location just a two-minute walk from Subiaco Train Station and St John of God Subiaco Hospital. Secure parking is also available as part of your salary package, if desired.

We are looking for someone who is motivated, proactive, and enjoys working independently while thriving as part of a collaborative and supportive team. You will have a genuine passion for delivering exceptional customer service, creating a welcoming environment, and ensuring every patient interaction reflects the high standards of our practice.

You will be an excellent communicator with outstanding verbal and written skills, exceptional attention to detail, and the ability to confidently prioritise and manage multiple tasks in a busy specialist practice. You will be reliable, organised, and take pride in your work, with a commitment to delivering consistently high-quality service and patient care.

Key responsibilities include:

• Providing exceptional front-line customer service by warmly welcoming and assisting patients, their families, and referring practitioners.

• Liaising closely with our administrative and clinical teams to ensure the smooth coordination of patient care.

• Responding to incoming telephone enquiries in a professional, courteous, and efficient manner.

• Scheduling patient appointments and coordinating diagnostic investigations to support timely, well-organised clinics.

• Managing patient records with a high level of accuracy and confidentiality.

• Preparing, invoicing, and receipting patient accounts.

• Accurately transcribing and preparing medical correspondence.

• Maintaining an organised, professional, and welcoming reception environment.

• Following up investigation requests and results to support continuity of patient care.

While previous Medical Reception experience is highly desirable, we value enthusiasm, a willingness to learn, and a genuine passion for patient care just as highly.
