Goulburn Valley Hearing Clinic GVHC is a locally owned and operated Audiology service seeking a customer-focused Receptionist to join our team.
You will play a crucial role in forming the basis of clients' initial perception of our clinic. Maintaining a clear, client-focused approach is fundamental to how we work and sets us apart from other hearing services.
Key responsibilities
Greet clients, verify details, manage bookings
Scheduling appointments and managing client recalls using our practice management system HearAid for GVHC and GV Health
Handle incoming telephone calls, texts and emails professionally, answering client enquiries and directing queries appropriately
Maintaining accurate and up-to-date client records in accordance with privacy legislation
Prepare and provide relevant information/material prior to client appointments. Maintain and scan client records to HearAid
Use XERO to manage invoices and client accounts. Count cash daily and reconcile daily sheet
Processing payments using appropriate systems including Medicare, the Hearing Services Program, NDIS providers, DVA and WorkCover
Prepare hearing aids for appointments and count stock
Process hearing aids for repair and order replacement aids when lost
Performing basic hearing aid troubleshooting such as checking batteries, changing wax filters, domes or tubing. Assisting clients with hearing aid Bluetooth connectivity issues both face to face and over the phone. Providing batteries and other hearing aid consumables to clients as appropriate. Training will be provided to the successful candidate
Maintain cleanliness of the clinic
Attend staff meetings
What you'll bring to the role
GVHC's ideal candidate is reliable and personable, with experience working in a medical/allied health practice. You are a person who can remain cool and calm, willing to learn and be confident to ask questions if you need further information.
What we're looking for
Proven experience working in a healthcare reception or medical administration environment, ideally in audiology or a related allied health setting
Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse client groups
Strong organisational abilities and proficiency in managing multiple tasks and priorities simultaneously
Experience using practice management software, electronic patient record systems and Xero
Proficiency with Microsoft Office applications, particularly Word and Excel
A professional and courteous demeanor with a genuine commitment to providing outstanding customer service
Attention to detail and accuracy in documentation and record-keeping
Understanding of privacy legislation including the Privacy Act 1988 (Cth) and relevant health records laws
Ability to work flexibly as part of a small team and adapt to the needs of a busy audiology practice
Sound communication and arithmetic skills - essential
Responsible for work performed with a medium level of accountability or discretion
Able to work under limited supervision, either individually or in a team
