About the role
At a Glance
Part-time or full-time · 32 hours/week, flexible · Bentleigh East, VIC · Reports to the Operations Manager
The Company
With a 55+ year history, Rakumba is Australia’s heritage luxury lighting brand — designing and producing authentic, contemporary lighting for high-end architectural, hospitality and residential clients in Australia and around the world.
Our team is driven by a shared obsession: Making Beauty. The vision we have for our journey makes the legacy we’re creating truly exciting — and this role sits right at the heart of it.
The Role
Every Rakumba light starts as an obsession and ends as something beautiful — in a home, a hotel or a project somewhere in the world. You are the person who connects those two points: the voice our clients hear first, and the one they trust to see things through.
Reporting to our Operations Manager and working alongside a small, high-performing team, you’ll own the customer experience from first enquiry to delivered light. You’ll be the first point of contact for the architects, designers and project clients who specify our work, and for the channel partners who represent Rakumba around the world. You’ll turn enquiries into quotes, quotes into orders, and orders into lights that arrive on time and as promised — keeping everyone informed, and everything moving, at the pace this business runs.
It’s varied, fast and full of ownership. When something needs an answer, you find it; when a project hits a snag, you smooth it — and you quickly become the person clients ask for by name, and the one the team can’t do without.
Day to day, you will:
Be the first voice on the phone and across our shared sales inbox — answering, directing and looking after enquiries
Prepare quotes and pro forma invoices, process and confirm orders, manage changes, and follow each job through so clients and channel partners always know where things stand
Coordinate local and international freight and the documentation that travels with each shipment
Look after after-sales care — parts, replacements and warranty questions — and route technical queries to the right people
Partner with our design and production teams to get answers and keep projects moving
You
A love of design is in your DNA — just as much a part of you as your love for fostering great relationships. And you’re fast. A fast learner, a fast-paced person who moves fast, thinks fast and gets it — fast.
People gravitate towards you for your positive, infectious energy. You’re polished and professional, with clear, warm communication — on the phone, in writing and in person. You’re meticulous and organised, always wanting things to be ‘just right’. You’re numerate and accurate too — you double-check a quote, reconcile an invoice, and catch the error others miss. You intuitively filter and prioritise multiple parallel tasks without getting flustered when things change. You’re reliable, you genuinely care, and you’re open to feedback because you’re always looking to do it better. The word ‘competent’ instantly comes to mind when people describe you.
Simply said, you’re the sort of person who makes good things happen.
Skills & Experience
We’ll gladly train the right person — attitude and aptitude come first. It will help if you also bring:
Strong customer service instincts, with clear written and verbal communication
Experience in B2B customer service and sales/order administration — quoting, orders, invoicing and seeing jobs through (ideal)
Strong numeracy and accuracy — confident checking quotes and invoices, with an eye for spotting mistakes
Confidence with systems — ERP experience (Odoo, SAP or similar) is a strong positive
Sharp attention to detail, good time management and a positive, energetic attitude
Some freight or export exposure (a bonus, not essential)
An interest in, or experience within, the design or lighting field
How to Apply
If you’re the fast, polished, genuinely-caring person we’ve described — and working with a heritage Australian design house excites you — we’d love to hear from you.
