Role Description
This role will play a tangible role in delivering outcomes for Evolve and our client across their Tasmanian property portfolio. You will grow and apply your knowledge of asset and facilities management while working with a caring and curious team of professionals, who encourage each other to share ideas and grow our knowledge.
In this role you will be able to:
• Develop and maintain, a detailed understanding of the requirements of the client contract.
• Provide leadership, mentoring and support to other team members.
• Work collaboratively with team members and stakeholders to problem solve, identify and implement continuous improvement opportunities, and deliver positive outcomes.
• Support the delivery of the Property Asset and Maintenance Plans/Schedules by: Developing and maintaining a sound understanding of the Property Asset and Maintenance Plans/Schedule requirements and ensuring that these requirements are met for the client.
Key Responsibilities
· Provide Building Management services for a Tasmania client’s property portfolio and be the primary point of contact with the landlord and contractors including site induction where necessary.
· Provide facilities management support to all client portfolio sites, familiarise yourself with the process of loading jobs using the work order management system and develop property efficiency solutions where possible.
· Have sound understanding of the Property Asset and Maintenance Plans/Schedules and property summaries for the client sites if required by the client and work with the Senior Evolve Facilities Manager and Evolve work streams.
· Review delivery and performance of downstream contractors as they support the Tasmania sites: work with Evolve Procurement and Facilities teams to manage contractor performance.
· Identify gaps in services and provide effective changes as they relate to client sites.
· Attend monthly meetings, co-ordinate and attend monthly FM meetings and ensure actions items resulting from these meetings are addressed and completed.
· Generate reporting from various systems to assist property operations, operations reporting and ad hoc reports as required by the client.
· Manage and monitor core service minor works at Tasmania sites, including developing Project Plans.
· Client/Stakeholder Management, proactively engage stakeholders to ensure that the client’s expectations are met, build and develop effective client / stakeholder relationships across multiple levels of the organisation.
· Health & Safety Management to ensure the provision of a safe working environment.
· Site Operations Management; recommend continuous quality improvement practices and implement Industry Best Practice operations, implement building procedures and performance measures and ensure they are maintained at all times.
· Risk Management; ensure a property risk management program including audits is implemented and maintained, ensure disaster recovering and business continuity plans are implemented and maintained.
· Achieve Key Performance Indicators and Service Level Agreement targets.
· Additional activities as directed by the Manager and Assistant manager of the client Property Services Team.
Requirements
· Experience in Facilities Management/Asset Management/Procurement and Downstream Contract Management/Emergency Management/Sustainability/Landlord relationships/Collaborative working style.
· Oversee preventative, routine and reactive maintenance works in accordance with Property Asset and Maintenance Plans/Schedules.
· Engage contractors and service providers to complete maintenance works including:
o Writing detailed scopes of work.
o Raising work orders.
o Meeting contractors at sites and escorting them to work areas.
o Coordinating contractors, trades, or service providers to deliver the scopes of works.
o Ensuring the completion of relevant site inductions are completed.
o Proactively following up on outstanding work orders and works to understand delays or associated issues to proactively communicate updates to stakeholders.
o Accompanying contractors completing monthly inspections or verifying works completed.
· Reviewing any work recommendations from contractors.
