About the role

We’re now looking for an organised and customer-focused Administration & Client Service Coordinator to join our team at our Hendra head office.
This is a varied role combining customer service, administration, accounts support and day-to-day coordination. You'll be an important point of contact for our customers, while also working behind the scenes to keep records accurate, payments and documentation on track, appointments organised and internal processes running smoothly.

No prior auction or numismatic experience is required. We'll provide all the industry-specific training you need.
Key ResponsibilitiesProvide friendly and professional customer service by phone, email and in person.
Respond to customer enquiries promptly and professionally.
Assist customers with registrations, appointments and general enquiries.
Build positive relationships with customers and vendors.
Ensure customers receive clear, accurate and timely information.
Coordinate customer appointments and associated documentation.
Maintain accurate customer and vendor records, databases and filing systems.
Prepare statements, documentation and administrative reports.
Follow up outstanding documentation and required information.
Proofread documents for accuracy, spelling and consistency.
Assist with coordinating customer collections and appointments.
Liaise with external service providers as required.
Provide administrative support to our interstate offices.
Support the Operations Manager with administration and other projects as required.
Prepare customer invoices and vendor statements.
Follow up outstanding customer payments.
Assist with customer payment enquiries.
Maintain accurate payment records and supporting documentation.
Maintain accurate and organised company records.
Assist other departments during busy periods.
Follow company processes and procedures.
Contribute to a positive, collaborative and customer-focused workplace.
We're looking for someone who is organised, reliable and genuinely enjoys helping customers.
You'll ideally bring:
Previous experience in administration, customer service or a coordination role.
Strong written and verbal communication skills.
Excellent organisation and time-management skills.
High attention to detail and accuracy.
Confidence dealing with customers by phone, email and face-to-face.
Strong computer skills and confidence learning new systems.
The ability to manage multiple priorities and follow tasks through to completion.
A proactive approach and willingness to take ownership of your work.
Confidence handling basic accounts and payment administration.
The ability to work collaboratively as part of a close-knit team.
Experience using systems such as Microsoft Office, Google Workspace, Zendesk or other web-based business platforms would be advantageous.
Experience in auctions or numismatics is not required. Full training will be provided.
