Band 5 - $77,392.64 to $88,025.60 per annum pro rata plus superannuation

Colac Otway Shire Council is seeking an organised, proactive and people-focused Division Support Officer to join our Corporate Services team.

This is a unique opportunity to work directly with the General Manager Corporate Services while supporting a diverse portfolio including Finance, Information Technology, Property, Procurement, Workplace Health and Safety and People & Culture. You'll provide high-quality administrative and project support, coordinate key initiatives and manage sensitive and confidential information with professionalism and discretion.

About the Role

Reporting to the General Manager Corporate Services, this position provides administrative, coordination and project support across the Corporate Services Division.

Key responsibilities include:

• Providing executive and administrative support to the General Manager Corporate Services.
• Coordinating reports, correspondence, meetings and divisional activities.
• Assisting with research, report preparation, record management and business support functions.
• Supporting projects, initiatives and events across the Corporate Services Division.
• Providing administrative support to the People & Culture function, including assistance with recruitment, onboarding, training and employee engagement activities.

You are highly organised, take pride in producing quality work and understand the importance of trust, professionalism and confidentiality.

To be successful in this role, you will bring:

• Experience in an administration, executive support or business support role.
• Strong organisational skills and the ability to manage competing priorities.
• Exceptional attention to detail and highly developed record-keeping skills.
• Demonstrated ability to exercise sound judgement, maintain strict confidentiality and handle sensitive personal, organisational and commercial information with professionalism, discretion and integrity.
• Excellent written and verbal communication skills.
• Strong computer skills and experience using Microsoft Office applications.
• A proactive approach, sound judgement and the ability to work independently and as part of a team.
