About the Role
We are seeking a confidential, proactive and detail-oriented Executive Assistant to provide administrative and governance support to our Board. This role is central to ensuring the smooth functioning of board operations and also offers the opportunity to contribute to our financial processes through basic bookkeeping tasks.
This is a part-time role, approximately 25 hours per month, with flexibility around how those hours are worked. Board meetings typically occur once per month, and attendance (in person or online) will be required to take minutes.
Key Responsibilities
Provide high-level administrative support to the Board and Chair
Coordinate and prepare Board meeting agendas and papers
Accurately record and distribute meeting minutes and action items
Maintain records, registers and filing in line with governance standards
Manage Board communications and scheduling
Assist with bookkeeping duties, including:
Bank reconciliations
Processing invoices
Preparing and lodging Business Activity Statements (BAS)
Liaising with our accountant/bookkeeper as required
About You
You are an experienced administrator or Executive Assistant who is comfortable working independently and can manage a small but important workload each month. You take initiative, pride in your accuracy and communication skills, and enjoy supporting a professional board environment.
You’ll also bring:
Proven experience in executive support, administration, or governance roles
Strong minute-taking, document preparation and organisational skills
Proficiency in Microsoft Office (Word, Outlook, Excel)
Familiarity with bookkeeping and financial admin (Xero experience highly regarded)
A high level of discretion and professionalism
Experience in a community organisation (desirable, not essential)
