About the Role

The Accounts Payable Officer is responsible for ensuring the accurate, efficient and timely processing of supplier invoices, employee reimbursements and payments across AWC. The role plays a critical part in maintaining strong financial controls, supporting compliance with AWC’s procurement and delegation frameworks, and fostering positive relationships with internal stakeholders and external suppliers.

Working as part of the Finance team, the Accounts Payable Officer manages supplier accounts, payment processes, purchase order administration and key reconciliations while identifying opportunities to improve systems, processes and service delivery. The role contributes to the smooth operation of AWC’s financial functions and supports the organisation in achieving its conservation goals through reliable financial administration, strong customer service and a commitment to AWC’s values and ONEAWC culture.

Critical Competencies

• Prior experience in an Accounts Payable role preferable or working within the finance department of AWC.
• Effective communication skills using email, telephone and in person.
• Demonstrated ability to build rapport with internal staff and external suppliers to support the Accounts Payable process.
• Excellent organisational skills with a demonstrated ability to maintain a predictable, efficient, accurate and timely process.
• Proven ability to apply a corporate purchasing/procurement policy and to identify and implement process improvements.
• Experience using TechnologyOne Financials or similar accounting system is preferable.
• Proficiency in using standard business software packages (including Excel, Word and Outlook).
• Demonstrated ability to act as part of a team or, as required, independently.
• A strong interest in (passion for!) the conservation of Australia’s wildlife and habitats.
• A solid work ethic including a willingness to additional hours as required.

Responsibilities

• Process supplier invoices, employee reimbursements and purchase orders accurately and in line with AWC’s procurement policy.
• Manage supplier accounts, including maintaining details in TechnologyOne, preparing credit applications and reconciling supplier statements.
• Coordinate weekly EFT/BPay payment runs, direct debits, international transfers and high‑value payment approvals.
• Monitor purchase order activity, approval limits and system reporting to ensure correct invoice matching and procurement compliance.
• Support AP‑related reconciliations, including the AP sub‑ledger, bank accounts and PAYG remittance.
• Assist with general finance tasks such as journal entries, purchase card imports, banking, and audit preparation.
• Collaborate with internal staff and suppliers to resolve queries and maintain strong working relationships.
• Contribute to process improvements and uphold AWC’s policies, values and team culture.

Mandatory Requirements

• A legal right to work in Australia.
• Nationally Coordinated Criminal History Check (police check) or willingness to obtain one.
