About the Role
Mind on Health Psychology is seeking a friendly, motivated and reliable Receptionist to join our administration team across our three busy psychology clinics located in Parkwood, Pimpama and Oxenford.
We have a supportive team culture and are looking for someone who is professional, approachable and enjoys working as part of a team, while also being confident working independently.
This position would suit someone looking for a long-term opportunity in health practice administration who is eager to learn, take initiative and develop their skills within a busy psychology practice.
Key Responsibilities
As a Receptionist, you will have a varied role that includes:
Answering incoming telephone calls and responding to client enquiries
Booking, changing and managing clinician appointments
Communicating with clients and their families in a professional, compassionate and respectful manner
Liaising with GPs, specialists, allied health professionals, third-party providers and their administration teams
Receiving and conveying messages accurately via phone, email and other electronic systems
Managing confidential correspondence and documentation
Processing incoming referrals and documentation
Faxing, scanning, filing and uploading documents
Preparing and sending documents via Medical Objects, email or post
Completing administrative documents with a high level of accuracy
Processing billing and payments promptly and accurately, including Medicare, WorkCover and other third-party funding
Handling EFTPOS, cash and other payments
Maintaining accurate client records and appointment information
Maintaining a clean, organised and professional reception and practice environment
Opening and closing the practice as rostered
Completing other administrative duties as directed by the Practice Manager and/or Principal Psychologist/Owner
Essential Criteria
To be successful in this role, you will need:
Availability Monday to Friday
Availability to assist with sick leave and holiday cover when required
Excellent verbal and written communication skills
A friendly, compassionate and professional approach when dealing with clients
Strong attention to detail and accuracy
Good organisational and time-management skills
The ability to prioritise tasks in a busy reception environment
Confidence using computers and the ability to learn new practice-management software
A proactive attitude and willingness to learn
The ability to work both independently and as part of a team
Reliability, professionalism and a strong work ethic
A current driver's licence and reliable transport
The ability and willingness to work across our Parkwood, Pimpama and Oxenford clinics as required
Flexibility with days and hours of work
Highly Desirable
Previous experience in medical, psychology, allied health or health administration
Experience using practice-management software
Experience with Medicare billing and claims
Experience with Workcover, NDIS or other third-party billing
An understanding of confidentiality and privacy requirements within healthcare
