About the role
The National Offshore Petroleum Safety and Environmental Management Authority (NOPSEMA) is Australia's independent expert regulator for health and safety, structural integrity, well integrity and environmental management for all offshore energy operations and greenhouse gas storage activities in Commonwealth waters, and in coastal waters where regulatory powers and functions have been conferred.
NOPSEMA also administers the functions of the Offshore Infrastructure Regulator (OIR), for the offshore renewables industry. This includes the regulation of work health and safety, infrastructure integrity, and environmental management for offshore renewable energy infrastructure activities.

Role:
Reporting to the Director - Regulatory Stakeholder Engagement, the Regulatory Assistant provides high-quality administrative, co-ordination and project support to the Deputy Chief Executive Officer, Directors and team members within the Strategic Regulation and Improvement Division.
The role is central to the smooth operation of the Division, assisting to manage priorities, coordinate activities, support projects and maintain effective business processes in a dynamic and collaborative environment.

The key duties of the position include:Key Responsibilities:
The work of the Regulatory Assistant is broad, varied and fast paced. You will work across the Strategic Regulation and Improvement Division, supporting senior leaders and teams through a mix of administrative, coordination, project and business support activities.
You will also:
• support the Deputy Chief Executive Officer, Directors and team members to manage commitments, prepare for meetings and maintain awareness of key deadlines and priorities.
• coordinate internal and external meetings, including scheduling, venue and technology arrangements, meeting documentation, minute taking and follow-up actions.
• provide administrative support for divisional projects and initiatives, including maintaining action registers, co-ordinating project meetings and supporting project deliverables.
• assist with procurement, consultant contract administration, travel, conference bookings, accommodation and expense reimbursements.
• prepare and format reports, presentations, correspondence and other business documents, and maintain accurate electronic records and filing systems.
• support divisional planning, workshops, events and team activities that contribute to the effectiveness and continuous improvement of the Division.
• undertake research, source information and liaise with internal and external stakeholders and contribute to a positive, professional and collaborative team environment.
We would like to hear from you if you have:
• demonstrated experience providing high-level administrative support service in a busy and dynamic environment.
• strong organisational skills, including the ability to manage competing priorities, meet deadlines and maintain high standards of accuracy and attention to detail.
• experience supporting projects, maintaining action registers or tracking deliverables, and contributing to the successful delivery of team and organisational priorities.
• sound judgement, initiative and problem-solving skills, with the ability to adapt to changing priorities and work independently when required.
• excellent written and verbal communication skills, including the ability to prepare correspondence and documentation and build positive working relationships with a diverse range of stakeholders.
• proficiency in Microsoft Office and other business systems together with a collaborative and customer-focused approach, with a demonstrated ability to contribute positively to team outcomes.
EligibilityYou will be required to pass a pre-employment medical assessment and maintain medical fitness.
You must pass and maintain a security clearance to the level 'Baseline’.
Prior to any offer of employment, the recommended applicant will be required to undertake pre-employment checks, including national police clearance and declaration of conflict of interest.
NOPSEMA staff are prohibited from trading in oil and gas resources and/or offshore renewable electricity sector shares.
