Day Hospital Patient Services Team Leader

Broadwater Private Day Hospital (Southport, Gold Coast) and Little Edward Day Hospital (Spring Hill, Brisbane) (primary based Spring Hill, Brisbane)

Are you an experienced healthcare administration leader who is passionate about delivering high-quality patient service, supporting teams, and driving operational excellence?

We are seeking an experienced, organised and hands-on Team Leader to lead administration services across Broadwater Private Day Hospital and Little Edward Day Hospital, both part of the Monash IVF Group. This is an exciting opportunity for a proactive leader who enjoys balancing operational oversight with day-to-day involvement in the team, ensuring exceptional patient service, efficient administrative processes, and a positive team culture across both sites.

Reporting to the Patient Services Manager and working closely with the Director of Nursing, you will provide hands-on leadership to administration teams, support smooth daily operations, and help deliver a positive experience for patients, doctors, visitors, and stakeholders.

Regular travel between both hospital locations is required. The successful candidate must hold a current unrestricted Queensland driver licence and have access to a reliable, registered vehicle. The role also requires flexibility to commence work from 6:00am. Onsite parking is provided at both locations.

About the role

• Lead, support, coach and develop administration staff across both sites.

• Oversee admissions, bookings, scheduling, discharges, billing, receipting and end-of-day banking.

• Ensure accurate patient information, including financial consent, health fund checks and account enquiries.

• Coordinate workflows, rosters, leave coverage and administration priorities.

• Maintain accurate records and support confidentiality, compliance and accreditation requirements.

• Build effective relationships internal and external stakeholders

• Support theatre list preparation, patient documentation, monthly reporting, incident reporting, and continuous improvement initiatives.

• Promote exceptional customer service and support continuous improvement initiatives.

You are a proactive, people-focused administration leader with healthcare, medical practice or hospital administration experience. You bring strong organisation, attention to detail and the ability to balance operational priorities while supporting a team.

• Healthcare, medical practice or hospital administration experience. Day Hospital or Day Surgery experience highly desirable

• Previous leadership or supervisory experience.

• Strong emotional intelligence and demonstrated ability to build effective relationships and influence across a diverse stakeholder group

• Knowledge of private healthcare funding and health fund billing.

• Excellent organisational and time management skills.

• Ability to improve processes, drive efficiencies and manage competing priorities.

• High computer literacy, including Microsoft Office and healthcare management systems; FYDO experience is highly regarded.

• Understanding of patient administration, billing, private health fund processes and scheduling.

• Satisfactory National Police Certificate.

• Current unrestricted Queensland driver licence and willingness to travel between sites.
