Bid & Submissions Coordinator

Role Overview
The Bid Coordinator position with assist with delivering winning submissions for some of Australia's largest road, infrastructure and utilities projects. The role will coordinate high-value tender submissions, collaborate with operational leaders across the business and play a direct role in securing major projects that drive the company's continued growth.

This role is ideal for someone who enjoys coordinating complex submissions, engaging with multiple stakeholders and delivering high-quality bids that help secure major infrastructure projects.

This position is based full-time from Retro Traffic's Rydalmere office.

Key Responsibilities

• Coordinate and prepare Requests for Quotations (RFQs), tenders and business submissions.
• Monitoring tender portals, business development inboxes and client enquiries.
• Managing tender documentation and maintaining accurate document control.
• Liaising with Planning and Operations to gather pricing and resource information.
• Maintaining CRM data and tracking opportunities through the sales pipeline.
• Following up submitted quotations and recording outcomes.
• Supporting sales meetings, preparing reports and meeting minutes.
• Coordinating new client account setup and internal handovers.
• Supporting the Business Development Manager with day-to-day sales activities.
• Contribute to the continuous improvement of business development systems and processes.

Qualifications and Experience

• Previous experience as a Bid Coordinator, Tender Coordinator, Proposal Coordinator or similar.
• Experience within the Traffic Management, Civil Construction, Infrastructure or Engineering industries is preferred.
• Experience using CRM systems and Microsoft Office suite.
• The ability to manage multiple deadlines and competing priorities.
• Exceptional attention to detail and document management skills.
• A proactive approach with the ability to work autonomously.
• A continuous improvement mindset with a willingness to learn.
