About the role:

A rewarding opportunity for to provide high quality and professional administration support at our North Tas HCP facility.

Based in our Launceston office, this role will provide Administration Support Services to support the ongoing growth of the Support at Home (SAH) program across Northern and North Western Tasmania.

The role will coordinate a range of non-care services, support external service provider relationships, process invoices, maintain accurate client records and assist with budget monitoring. This position will help improve operational efficiency, strengthen compliance and allow Care Advisors to focus on assessment, care planning and client support activities.

Key responsibilities will include:

• Scheduling gardening, cleaning, home maintenance, transport, physiotherapy and allied health services
• Coordinating client and provider appointments
• Confirming services and following up activities
• Managing recurring service schedules
• Liaising with approved external service providers
• Monitoring service delivery requirements
• Resolving booking and scheduling issues
• Maintaining accurate provider records
• Receiving and validating provider invoices
• Allocating costs against client budgets
• Uploading invoices to client records
• Preparing invoices for payment processing
• Supporting expenditure monitoring and reporting
• Maintaining accurate client documentation
• Supporting audit readiness
• Monitoring service records and invoice documentation
• Ensuring administrative compliance requirements are met

you will also:

• Provide outstanding customer service, maintaining friendly, supportive and professional relationships with clients, their relatives and friends
• Check in visitors, contractors and other guests, ensuring OSH guidelines are followed
• Provide friendly and professional reception and switchboard support
• Undertake ad-hoc administration duties as required or advised

• Previous experience in administration, coordination or a similar support role
• Strong organisational and time management skills, with the ability to manage competing priorities
• Excellent attention to detail and accuracy when handling records, invoices and financial information
• Strong communication and interpersonal skills, with a professional and friendly approach
• Experience working with external providers, clients and other stakeholders
• Confidence using computer systems and Microsoft Office applications
• The ability to maintain confidentiality and accurate client documentation
• An understanding of compliance requirements and the importance of maintaining accurate records
• A proactive, solutions-focused approach and the ability to resolve scheduling and administrative issues
• A genuine commitment to providing high-quality support and customer service
• The ability to work independently while also contributing positively to a team
