What We’re Looking for:
We’re looking for a highly organised and proactive Tender Coordinator / Office Administrator to join our team, with a primary focus on supporting and coordinating tender submissions.
This role is ideal for someone with good written communication and administration skills who enjoys creating professional, well-presented documents and working to deadlines. You’ll assist with preparing tender submissions, developing and refining content, coordinating supporting information, and ensuring submissions are accurate, consistent and completed on time.
You don’t need previous tender experience. You’ll receive training in our tender process, systems and requirements, with ongoing support as you develop your knowledge and confidence in the role. We’re looking for someone with excellent attention to detail who is comfortable working with documents, systems and multiple deadlines and is keen to learn.
Alongside tender coordination, you’ll also provide general administrative support to the business as required.
Key Responsibilities
Assist with the preparation, coordination, formatting and compilation of tender submissions, EOIs, capability documents and other bid-related documentation.
Assist with writing, reviewing and refining tender content to ensure submissions are clear, professional and well presented.
Work closely with our Estimating Team and other team members to gather and coordinate the information required for tender submissions.
Monitor tender deadlines, submission requirements, documentation and online procurement portals.
Maintain and update tender templates, project sheets, staff CVs, capability statements and company information.
Ensure tender documentation is accurate, consistent, professionally presented and completed in accordance with submission requirements.
Assist with project administration and document control as required.
Support the day-to-day administration and smooth operation of the office.
Manage reception, incoming calls, visitors, mail, couriers and general office enquiries.
Maintain filing systems, company registers and general business documentation.
Provide general administrative support across the business, including assisting with marketing and business development activities.
What You’ll Need
Previous experience in office administration, administrative support, document coordination or a similar role.
Excellent written communication skills, with the ability to develop clear and professional content.
Excellent organisation and time management skills.
Exceptional attention to detail and accuracy.
Confidence managing multiple priorities and working to deadlines.
A professional, approachable and proactive attitude.
The ability to work independently while also being a supportive team player.
A willingness to learn and develop your knowledge of tender coordination and the construction industry.
Previous construction, tender or bid coordination experience would be advantageous, but is not essential.
A willingness to undertake training and develop your skills, with ongoing support provided as you learn our tender processes, systems and requirements.
Technical Skills
Strong Microsoft Office skills, particularly Word, Outlook and Excel.
Confidence formatting and producing professional business and submission documents.
Ability to learn new software, systems and online tender/procurement platforms.
Experience with Adobe InDesign would be advantageous, but is not essential.
A good eye for document presentation, formatting, structure and consistency.
