Position Summary

We're looking for a motivated, detail-oriented Administrative Assistant to support our accounting, financial planning, and mortgage broking teams. This is a genuine entry point into the financial services industry, where the right candidate can build a long and rewarding career.

Key Responsibilities

• General Admin & Office Operations: Be the friendly face and voice of the office, answering calls, welcoming clients, handling mail, scheduling meetings and keeping documents and filing in order.
• Accounting Support: Send standard client correspondence (like Notices of Assessment and engagement letters) and help with basic reconciliations and invoice allocation in Xero.
• Mortgage Support: Help clients gather the documents they need, enter loan applications into aggregation software, and liaise with brokers and banks to keep things moving.
• Financial Planning Support: Prepare for client meetings, manage the planner's calendar, and keep CRM records and paperwork up to date.
• Client Relations & Compliance: Support identity checks, safeguard client confidentiality, and help build great relationships through thoughtful touches like reviews and milestone cards.

Your Career Path With Us

This role is designed to grow. Depending on where your interests lie, we'll support you in developing toward one of the following paths:

• Accounting: progressing into tax and accounting support, with study support toward CPA/CA or tax agent qualifications.
• Financial Planning: developing into paraplanning and adviser support, working toward financial planning qualifications and, ultimately, becoming an authorised adviser.
• Mortgage Broking: building lending and client-facing skills, working toward your Certificate IV in Finance & Mortgage Broking and a future as a broker within the firm.

There's no obligation to choose a path right away. We'll get to know your strengths and interests first and support you in whichever direction you'd like to grow.

Skills & Experience

• Minimum of 3 years of administrative experience, preferably in an accounting or financial services environment.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Familiarity with accounting software Xero is advantageous.
• Excellent organisational and time management skills.
• Strong verbal and written communication abilities.
• Attention to detail and accuracy.
• Ability to handle sensitive and confidential information with discretion.
• Customer service-oriented mindset, with genuine interest in building a long-term career in financial services.
