About the role
MJ GreenGuard Landscaping is seeking a full-time Landscaping Contract Administrator to join our team based in Brookwater, QLD 4300.
We are currently delivering commercial and development landscaping projects across Brisbane, Ipswich, Toowoomba and the Gold Coast. This role will work closely with our project managers, site supervisors, suppliers, subcontractors and clients to support the day-to-day delivery of our projects.
We are looking for someone with a strong construction background who can manage procurement, project documentation, BOQs, safety documentation, variations, payment claims and general contract administration.
Key ResponsibilitiesAdminister and manage landscaping contracts from commencement through to completion
Review construction and landscaping drawings and specifications
Prepare BOQs and material quantity take-offs from drawings
Obtain pricing, quotations, stock availability and lead times from suppliers
Compare supplier quotations and assist with procurement decisions
Order materials and coordinate deliveries according to project schedules
Follow up suppliers to ensure materials are available and delivered on time
Book labour, suppliers, subcontractors and other resources as required
Communicate regularly with project managers and site supervisors regarding upcoming works, material requirements and urgent bookings
Prepare SWMS and other safety documentation for commercial and development projects
Prepare and maintain project documentation, correspondence and records
Prepare variations and supporting documentation for additional works
Prepare and manage progress/payment claims in accordance with contract requirements
Process and check supplier invoices, purchase orders and project costs
Track project schedules, milestones and upcoming procurement requirements
Assist with project cost control and budget tracking
Liaise with builders, developers, clients, suppliers and subcontractors
Assist with resolving contract, procurement and project-related issues
Identify potential delays, procurement issues and contract risks and report them to management
Assist with tender preparation, quantity take-offs and pricing when required
Maintain organised electronic project files and records
Support project close-out and handover documentation
Minimum Bachelor’s degree in Construction Management or a closely related construction field
Previous experience in Contract Administration, Project Administration, Construction Management or a similar role
Landscaping or civil construction experience is highly regarded
Strong understanding of construction and landscaping drawings, specifications and BOQs
Ability to complete accurate quantity take-offs from drawings
Good understanding of procurement and supplier management
Understanding of variations, progress claims, purchase orders, invoices and contract documentation
Understanding of SWMS and commercial construction safety documentation
Strong Microsoft Excel and Word skills
Experience using Bluebeam for drawing review and quantity take-offs
Strong written and verbal communication skills
High attention to detail
Good organisational and time-management skills
Ability to manage multiple projects, priorities and deadlines at the same time
Ability to communicate professionally with builders, developers, suppliers, subcontractors and site teams
Ability to work independently and follow up outstanding items without constant supervision
Good problem-solving skills and ability to identify issues before they impact the project program
This is a hands-on construction administration role and is not limited to contract paperwork.
You will be involved in procurement, BOQs, material ordering, supplier communication, project scheduling, SWMS, variations, payment claims, invoicing and general project coordination.
You will work closely with our project managers and site supervisors to understand what is happening on site, what materials are required next and what needs to be organised to keep each project moving.
Our projects are located across Brisbane, Ipswich, Toowoomba and the Gold Coast, so you will be supporting multiple active sites and project teams.
