About the Role:
The Events & Field Marketing Coordinator supports the successful execution of Avive's trade show, field marketing, training, and sales enablement programs. This hands-on role owns the logistics, inventory management, shipping, and operational coordination that keep Avive's events and field marketing programs running smoothly. Working closely with the Events Marketing Manager, Growth Marketing Managers, Operations, and Sales, this individual ensures people, materials, equipment, and event assets are organized, available, and delivered on time. This role thrives in a fast-paced environment and adapts quickly to changing priorities.
What You'll Do:
Event Logistics and Scheduling
- Support logistics and operational activities for trade shows, conferences, field activations, and company events.
- Cross-check the Asana trade show request board against the master schedule and staff calendars to identify conflicts or missing information.
- Prepare event materials and coordinate shipping, tracking, and status updates.
- Support on-site event setup, execution, and teardown as needed.
- Coordinate post-event returns, inventory updates, and shipment reconciliation.
- Coordinate printing and production of marketing materials.
Field Equipment Management
- Coordinate loaner AED requests and manage Avive's fleet of AEDs, CPR manikins, and other field and training equipment.
- Maintain equipment schedules and availability for trade shows, field activations, trainings, customer demonstrations, and other engagements.
- Maintain field equipment in a constant state of readiness, including device charging, REALConnect fleet management, cleaning, maintenance, and replacement.
- Coordinate packing, shipment, and return of field equipment, ensuring assets are tracked, inspected, accounted for, and prepared for future use.
- Coordinate marketing-owned AED donations and supporting logistics.
Inventory and Shipping
- Manage the storage and inventory of swag, collateral, trade show materials, booth supplies, staff apparel, and field activation materials.
- Maintain organized storage areas and conduct periodic inventory audits to ensure accuracy.
- Coordinate inbound and outbound shipments for Marketing, Sales, and channel partners, maintaining accurate tracking information.
- Monitor inventory levels and coordinate replenishment, repair, or replacement as needed.
- Support outbound and return shipping for events and field activations.
Booth and Event Operations
- Attend trade shows and other in-person marketing events to support the commercial team and engage prospects.
- Assemble event kits and activation materials.
- Support field activations, CPR/AED trainings, customer events, product demonstrations, and event logistics.
- Represent Avive professionally while supporting customers, prospects, and partners at events.
Marketing Operations Support
- Fulfill marketing requests from Sales and support preparation of materials for meetings, trainings, and customer presentations.
- Coordinate printing and production of marketing collateral and swag.
- Maintain marketing storage areas and organizational systems.
Required Skills & Experience:
- 1–3 years of experience in event coordination, marketing operations, field marketing, logistics, or a related role.
- Bachelor’s degree in Marketing, Communications, Business, Event Management, or a related field, or equivalent professional experience.
- Proficiency with Microsoft Office and Google Workspace.
- Willingness to travel approximately 15–25% for trade shows and field events.
Bonus Points For:
- Experience supporting trade shows, conferences, field marketing programs, or customer events.
- Experience coordinating inventory, shipping, fulfillment, or equipment logistics.
- Experience coordinating vendors, shipments, or event logistics across multiple stakeholders.
- Familiarity with project management tools such as Asana.
- Highly organized with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
- Strong communication and interpersonal skills with a customer-service mindset.
- Self-motivated with the ability to work independently and proactively solve problems.
- Flexible and adaptable in a fast-paced environment with changing priorities.
- Experience working with CRM or marketing platforms such as Salesforce, HubSpot, or similar systems.

Anticipated Salary: $75,000 - $85,000
