ABOUT US:
We are a purpose-built early childhood education and care centre committed to providing high-quality education, care and meaningful connections with children, families and the wider community.
We are looking for a proactive, organised and people-focused Administrative & Community Engagement officer to join our team.
This is a diverse role combining centre administration, enrolment and lead management, family engagement, community partnerships, marketing support, accounts administration and compliance coordination.
The successful candidate will be someone who enjoys dealing with people, is highly organised, takes initiative and can move comfortably between administration, family communication, marketing and community engagement.
A Role to Grow With
You won't be thrown in the deep end. We'll build your skills progressively — starting with enrolment, admin and family communication, then expanding into compliance, policy and grant-funded projects as you gain confidence, with support and mentoring along the way.
It's an ideal role for someone wanting a genuine, long-term pathway into early education administration, centre management or the broader community services sector.
Key Responsibilities
Enrolment & Lead Management – Manage incoming enquiries, follow up prospective families, coordinate centre tours, maintain the waitlist and support conversion of enquiries into enrolments.
Marketing & Centre Promotion – Create and coordinate engaging social media content, promote centre activities and initiatives, support lead-generation campaigns and increase the Centre’s online presence and Google reviews.
Family & Community Engagement – Build strong relationships with families and local community organisations, develop referral partnerships and support family events, communications and engagement initiatives.
OWNA & Family Accounts – Maintain accurate family and staff records, monitor family accounts and bonds, follow up failed payments and aged debtors, and prepare relevant OWNA reports.
Administration & Compliance – Provide day-to-day administrative support, maintain accurate records and registers, coordinate documentation and compliance checks, and manage SharePoint filing systems.
Accounts & Financial Administration – Assist with Xero, invoices, receipts, reconciliations, family account administration and basic financial reporting.
Family Support & Community Programs – Assist families to access appropriate community services and referral pathways, support parent engagement initiatives and contribute to grant-funded programs.
Centre Operations & Coordination – Support the Centre Director and leadership team with facilities, suppliers, events, staff onboarding, communications and general operational requirements.
Continuous Improvement – Identify opportunities to improve enrolment processes, administration systems, family engagement, community partnerships and overall Centre operations.
About You
Previous experience in an administration, customer service, marketing or enrolment coordination role (childcare or education sector highly regarded)
Confident using social media platforms for business, with basic photo/video content creation and editing skills
Experience with (or willingness to quickly learn) Owna, Xero and SharePoint
Excellent written and verbal communication skills, with a warm, professional phone manner
Strong organisational skills and the ability to manage competing priorities
A genuine interest in community engagement and family support
Sensitivity, discretion and a compassionate approach when engaging with families who may be experiencing hardship
A current Working with Children Check (or willingness to obtain one)t
