Administrator For Fire Maintenance

About the role

Supreme Fire Solutions is seeking an organised and reliable Administration Coordinator to support our growing fire protection business. This is a varied, hands-on position involving customer service, technician scheduling, quoting, compliance documentation and general office administration. You will be an important link between our customers, technicians, management and external stakeholders.

Key responsibilities

• Answering telephone calls and responding to customer enquiries
• Managing the general email inbox and ensuring enquiries are actioned promptly
• Scheduling technicians and coordinating daily and recurring service work
• Confirming appointments and arranging access with customers, strata managers, tenants and building managers
• Creating and maintaining jobs within our job-management system
• Preparing and sending quotations, work orders, invoices and service documentation
• Following up outstanding quotations, approvals, access arrangements and completed work
• Assisting with annual fire safety statement (AFSS) administration and compliance documentation
• Monitoring upcoming service dates, inspection deadlines and outstanding defects
• Reviewing technicians' completed jobs to ensure the required information and documentation have been provided
