About the Role:
Reporting directly to the CEO, this is one of the most visible and most trusted positions in the business. You will own the CEO’s diary, travel and Board rhythm, and work alongside the CEO on the flow of correspondence, anticipating what is needed before it is asked for and protecting the time, focus and reputation of a leader running a national business. You will also provide coordination support to the broader C-Suite (COO, CFO, GM of Muirs and the People & Culture Manager).
The EA position is being offered for the first time in more than 10 years. It calls for someone discreet, unflappable and genuinely proactive. You are an EA with a calm presence in a fast-moving environment, with the judgement and confidence to act on the CEO’s behalf within the authority delegated to you.
As EA to the CEO, you will:
• Calendar & time management: proactively manage a complex, fast-changing diary and help manage the flow of incoming correspondence, protecting white space, resolving conflicts independently and preparing the CEO for every meeting with the right materials and briefings
• Communication & correspondence: draft, review and manage correspondence, presentations and reports on behalf of the CEO, acting as a trusted liaison with internal teams, Board members, customers and external partners
• Meetings & Board coordination: coordinate Board meetings, leadership offsites and executive events end to end, ensuring Board and Executive Leadership Team papers are accurate, complete and distributed to agreed timetables
• Travel & logistics: arrange complex domestic and international travel, accommodation and ground transport, including private travel and family schedules, and manage last-minute changes
• Projects & office support: track deliverables on CEO-led projects, manage expenses, credit card reconciliation, invoices and budget tracking for the executive offices, and administer leave and expense approvals within the CEO’s delegation, and maintain confidential records with absolute discretion
• Stakeholder relations: act as the first point of contact for the CEO's office, building trusted relationships with Board members, customers and senior external partners. You will also provide coordination support to the broader C-Suite (CFO, COO, GM Muirs and People & Culture Manager) as directed, with the CEO’s requirements taking priority

Skills & Experience
Essential:
Minimum 5 years’ experience as an Executive Assistant supporting C-Suite or senior leadership
A proven ability to handle sensitive and confidential information with absolute discretion. Integrity is non-negotiable in this role
Exceptional written and verbal communication skills, including drafting on behalf of an executive
Experience coordinating Board or executive leadership meetings and papers
Advanced Microsoft 365 skills (Outlook, Excel, PowerPoint and Teams), plus confidence with calendar and travel management tools
Strong organisational skills and sound judgement; you prioritise well under pressure, see what is needed before being asked, and bring a sense of calm to a fast-moving environment
Flexibility to accommodate the CEO’s schedule
Desirable:
Have supported a broader executive team or a People & Culture function
A current driver’s licence and a willingness to travel occasionally
Hold a Bachelor’s degree or equivalent professional experience
Working knowledge of AI tools such as Claude or ChatGPT
Bring experience from agribusiness, agriculture or another national, multi-site business
