About Us:
Dunbrae Environmental, is the exclusive Australian and New Zealand distributor of the ORCA food waste digester — an on-site system that breaks down commercial food waste into water, keeping it out of landfill and cutting the need for waste bins altogether. Based in Seven Hills, NSW, Dunbrae Environmental is part of the wider Dunbrae Group, a well-established, Australian-owned commercial kitchen and food service equipment business employing several hundred people across Australia and New Zealand.

About the Opportunity:
This role is ideal for someone who thrives on challenges, excels in communication, and is passionate about delivering top-tier service. You’ll manage service jobs from start to finish, from logging and confirming jobs through to coordinating technicians, following up approvals and parts, and ensuring completed jobs are ready for invoicing. You’ll be someone who keeps things moving, communicates clearly and takes ownership of your work.
We're looking for a Customer Relations Administrator who thrives on getting things done right, the first time. You'll be the vital link between our clients, our technicians, and our internal teams — logging jobs, confirming details, chasing approvals, and making sure nothing falls through the cracks.
What You’ll Be Doing:
Answering customer and sales team calls, logging jobs accurately via our Call Centre system
Liaising with our Customer Service Coordinators to get jobs allocated quickly
Contact customers to confirm service bookings and ETAs.
Following up quotes, proforma invoices, parts supply, upgrade approvals and reattendances.
Reviewing quotes and proforma invoices before submission to client.
Following up on outstanding customer approvals, ordering parts promptly and keeping clients updated on ETAs
Reviewing warranty jobs and submitting claims where needed.
Reviewing completed jobs before they're processed for invoicing.Manage warranty jobs and submit claims where required.
Working closely with all internal and external stakeholders to keep work flowing smoothly.
What We’re Looking For:
The successful candidate in this role will possess enthusiasm and energy and enjoy helping customers and keeping things organised. You’ll have strong attention to detail, the ability to manage competing priorities and a practical approach to solving problems.
Relevant tertiary qualification
Exceptional written and verbal communication skills
A genuine understanding of customer workflows and what great service looks like
Basic to intermediate skills across Word, Excel, PowerPoint and internet-based systems
A sharp eye for detail - you can spot when something's off and know how to fix it
The ability to juggle competing priorities and multiple customers without dropping the ball
Confidence working autonomously and solving problems on the fly
Strong stakeholder management - you know how to set expectations and follow through
Experience working with customer service workflows and processes
Comfort working with (or quickly learning) relational databasesThe ability to remain calm and organised under pressure
