About the Role

As a Customer Experience Officer, you’ll be a key member of our Customer Experience team, helping create a warm, responsive and seamless experience for children, young people, families, referrers and community partners.

You’ll combine customer service, administration, referral coordination and systems support to keep things running smoothly for our participants and clinical teams.

Key Responsibilities

• Frontline Customer Service: Welcome families and visitors, manage phone, email and reception enquiries, and connect people with the right team.
• Referral & Lead Coordination: Manage incoming referrals and enquiries, gather and prepare relevant information, and coordinate the appropriate next steps in line with team and project processes.
• Systems & Records: Maintain accurate participant information and documentation in Splose, while ensuring privacy and confidentiality.
• Billing & Administration: Process payments, invoices and approved funding claims, and assist with basic account enquiries.
• Office Coordination: Support reception, office supplies, mail, building access and fleet bookings.
• Team Support: Provide administrative and scheduling support to therapists and internal teams.

Skills and Experiences:
What You Bring

• Customer Service: Experience delivering warm, respectful and high-quality customer service in a busy environment.
• Communication: Excellent verbal and written communication skills, with the ability to communicate confidently and empathetically.
• Organisation: Strong attention to detail and the ability to manage competing priorities and stay organised.
• Technology: Confident using Microsoft Office and digital systems, databases or customer management platforms.
• Teamwork: A positive, collaborative approach with the ability to work independently and follow established processes.

Desirable – but not essential

• Experience in disability, early childhood, allied health, health or community services.
• Knowledge of NDIS pathways.
• Experience using Splose or similar client management systems.
