Role Scope:
Procurement of assigned raw materials or packaging materials, depending on the successful candidate’s experience and business requirements.
Role Purpose:
Support the day-to-day sourcing and purchasing of raw materials or packaging materials to maintain supply continuity, quality, cost control and timely delivery. Work closely with suppliers and internal teams while developing practical procurement knowledge in a regulated manufacturing environment.
Key Responsibilities:
Raise and manage purchase orders for assigned raw material or packaging categories, confirm supplier acceptance, and follow up production and delivery status.
Obtain quotations, compare price, specification, MOQ, lead time, freight and payment terms, and prepare clear recommendations for approval.
Source existing and alternative suppliers under the guidance of the Procurement Manager.
For raw materials: support purchasing of nutritional, pharmaceutical, food or complementary-medicine ingredients and obtain required specifications, CoAs, declarations and supplier documents.
For packaging materials: support purchasing of bottles, jars, caps, liners, labels, cartons, corrugated shippers, pouches, films, foils, desiccants and other components.
Monitor open orders, identify potential shortages or delays early, and communicate updated delivery information to relevant stakeholders.
Assist with supplier quality issues, shortages, incorrect deliveries and non-conformances, including follow-up of corrective actions, replacement stock or credits.
Support new product development and material-change projects by tracking sourcing actions, samples, documentation and approval status.
Perform other reasonable duties as directed by the Procurement Manager.
Qualifications & Experience – Essential:
Approximately 2-3 years of experience in procurement, purchasing, supply chain, materials planning, supplier coordination or a related role.
Experience with raw materials or packaging materials is preferred; candidates with relevant manufacturing purchasing experience will also be considered.
Good commercial awareness and confidence working with quotations, pricing, MOQ, lead times and delivery follow-up.
Strong attention to detail and the ability to maintain accurate purchasing records and documentation.
Clear written and verbal English and the ability to work effectively with suppliers and cross-functional teams.
Qualifications & Experience – Desirable:
Qualification in procurement, supply chain, business, science, food technology, packaging, engineering or a related discipline.
Experience in pharmaceuticals, complementary medicines, food, nutrition, cosmetics, medical devices or FMCG manufacturing.
Exposure to GMP, supplier qualification, specifications, CoAs, quality documentation, change control or traceability requirements.
Experience purchasing from Australian or overseas suppliers and coordinating freight or import deliveries.
Technical Knowledge:
Basic understanding of procurement processes from quotation and approval through purchase order, delivery and issue resolution.
For raw materials: familiarity with specifications, CoAs, shelf life, batch traceability and supplier quality documents is advantageous.
For packaging materials: familiarity with specifications, drawings, artwork, dimensions, samples and print requirements is advantageous.
Competent in Microsoft Excel, Word and Outlook; ERP or MRP experience is preferred.
Skills & Attributes:
Organised, reliable and able to manage multiple purchase orders and follow-up actions.
Commercially minded, curious and willing to learn technical material requirements.
Strong communication, supplier follow-up and relationship-management skills.
Analytical and detail-oriented, with sound judgement in balancing cost, quality, service and supply risk.
Proactive, accountable and comfortable escalating risks or incomplete information promptly.
Preferably Mandarin speaking skills.
