Project Controls Coordinator

              Introduction

The primary purpose of the Project Controls Coordinator role is to work with the Project Director Project Controls and Program Management teams to provide project controls support specifically reporting on all relevant projects within the program portfolios, ensuring compliance with project governance key elements. 

The role will also support delivery of core project management functions including Change Control, Risk Management, Schedule Management, Project Management Methodology, Governance, Status and Performance Reporting, and Assurance. One of the main responsibilities of the role is to ensure that reporting is done efficiently and adhered to Rail

Delivery standards. The role will need to assist the automation process using Power BI. Experience in Power BI and high level of communication skill and stakeholder management is essential for the role.

                 General Services Requirements 

Supporting the Rolling Stock Delivery and Project Performance Teams, the scope of the Professional Services Contractor includes, but is not limited to, the following:

a)      Manage and provide support in the development and implementation of the program governance structures and reporting processes, including business rules, guidelines, and templates.

b)     Actively manage risks and issues and recording the status of these to ensure successful project delivery.

c)      Implement program delivery processes to ensure the program of projects is delivered by achieving agreed milestones and outcomes.

d)     Consolidate and distribute project and program status reports to support business analysis and decision making.

e)      Manage project change requests, ensuring effective tracking and compliance with approval processes.

f)      Ensure that project benefits are being tracked and reported on.

g)     Creating project implementation reports and ensuring that lessons learnt are integrated into other projects. 

h)     Ensuring all program artifacts produced are centrally stored in a defined directory structure that is trackable and easily accessible.

i)       Ensuring all status reports are produced in a timely, consistent, and accurate manner.

             Deliverables 

The Professional Services Contractor will be responsible for delivering the following:

a)                 Accurate project status reports, identifying any issues that require attention and management by Program and Project Managers

b)                 High level program schedules that identify key milestones, deliverables, dependencies and critical paths

c)                 Project and Program Risk Registers and identification of key / critical risks requiring management and mitigation

d)                 Visual representation of project and program data as required with graphs, charts and associated imagery

e)                 High level support and collaborative working relationship with all Rolling Stock Delivery

Program Managers and their teams

f)                  Implementation and maintenance of schedules, cost plans, project and risk management plans, risk registers and change registers

g)                 Implementation of current reporting mechanism and improvement of the system

h)                 Development of variety of dash boards in cost, schedule and risk space
