Allocation / Scheduling Coordinator – Fire & HVAC

Location: Western Sydney | Full-Time (38 hours)

Essential requirement: Applicants must have previous Fire Industry knowledge or demonstrated experience using Uptick. Applications that do not meet at least one of these requirements will not be considered.

We are a busy, well established Fire & HVAC services company based in Western Sydney seeking an experienced Allocation / Scheduling Coordinator to join our team.

This is a fast paced, high responsibility role suited to someone who works well under pressure, adapts quickly and understands how to keep technicians productive while maintaining strong customer service.

The Role

• Allocate and schedule Fire & HVAC service technicians

• Match technicians to jobs based on their skills, licences and compliance requirements

• Liaise with clients to confirm bookings, access requirements and site contacts

• Coordinate internally to ensure materials and job requirements are ready

• Monitor daily job progress and completion through Uptick

• Prioritise urgent, reactive and compliance-related work

• Identify scheduling issues and escalate them to management promptly

• Maintain accurate job and scheduling information within the system

About You

• Fire industry knowledge or demonstrated Uptick experience is essential

• Previous scheduling, allocation or service-coordination experience

• Highly organised, with strong communication and problem solving skills

• Confident managing competing priorities in a fast paced environment

• Comfortable working within a reactive, compliance driven industry

• Able to communicate effectively with technicians, clients and management
