Administration Team Leader – Radiology | New location opening soon!

Quantum Medical Imaging is looking for an experienced Administrative Team Leader to join our growing team and play a key role in the opening and ongoing success of our new Browns Plains clinic.

This is an exciting opportunity for an experienced radiology administrator who is ready to take the next step into a leadership role.

You’ll be at the centre of the clinic — supporting patients, leading the administration team, coordinating workflows and working closely with Radiologists, technical staff and referrers to ensure the practice runs smoothly every day.

Previous experience working in radiology or diagnostic imaging is essential for this position.

As Administrative Lead, you will take ownership of the day-to-day administration function within the clinic while providing hands-on support to your team.

You will help establish a professional, efficient and welcoming front-office environment and ensure our patients receive an exceptional experience from their first phone call through to completion of their appointment.

Your responsibilities will include:

• Leading and supporting the clinic administration/reception team

• Coordinating daily reception and administrative workflows

• Managing patient bookings across multiple imaging modalities

• Handling patient enquiries, registrations and appointment preparation

• Ensuring referrals and patient information are accurate and complete

• Supporting Medicare billing, payments and general account enquiries

• Managing complex bookings and resolving scheduling issues

• Liaising with Radiologists, Sonographers, Radiographers and other clinical team members

• Communicating professionally with referring doctors and medical practices

• Supporting staff rostering, training and onboarding

• Maintaining high standards of patient service and confidentiality

• Identifying opportunities to improve clinic processes and administrative workflows

• Assisting with the successful establishment and growth of our new Browns Plains clinic

This is a hands-on leadership position, so you’ll be comfortable leading from the front and assisting with reception and patient administration when required.

You are an experienced radiology administrator who understands the pace, complexity and importance of delivering an efficient diagnostic imaging service.

You are calm under pressure, highly organised and confident supporting both patients and staff.

Most importantly, you are someone who enjoys creating a positive workplace culture and takes pride in helping a clinic run exceptionally well.

• Previous administration/reception experience within radiology or diagnostic imaging – ESSENTIAL

• Strong knowledge of radiology bookings and patient workflows

• Experience working across multiple imaging modalities and understanding different appointment requirements

• Previous senior administration, supervisory or team leadership experience highly regarded

• Excellent organisational and time-management skills

• Strong attention to detail

• Confident communication and interpersonal skills

• A professional and compassionate approach to patient care

• The ability to manage competing priorities in a busy clinical environment

• Experience dealing with referrers, patients and clinical staff

• A proactive approach to problem-solving

• The ability to lead, support and motivate an administration team

Experience with radiology information systems, medical billing and Medicare processes will be highly regarded.
