About the role
We are currently seeking an experienced and capable Administration Officer to join our Kawana Waters Aged Care Residence care team in a full-time capacity. The ideal candidate will demonstrate commitment to a customer service approach whilst ensuring work completion and an eye for detail.
Key Responsibilities but not limited to:
Handling reception duties, including phone and direct contact with visitors, residents, staff, and contractors.
Coordinating admissions and discharges of residents.
Accurate invoicing, reconciliations, and order processing.
Managing HR files, processing police checks, creating contracts, and assisting with employee onboarding using the existing systems.
Managing mail, couriers, deliveries, correspondence, and documentation.
Proficient with MS Office – word, excel, PowerPoint, and other software.
Act as the site’s Health, Safety and Wellbeing Officer (HSWO) in accordance with the HSWO Scope Guideline.
Support the Facility Manager and WHS and Workers’ Compensation. Manager with WHS administration, hazard/incident documentation, scheduled WHS activities and site safety checks.
Complete WHS inspections, paperwork, and Committee minutes, escalating issues as required.
Qualifications and Attributes:
Exceptional communication and telephone skills.
Ability to work collaboratively with the team and key personnel to obtain the best results.
Demonstrated efficiency in administration skills.
Familiarity with rostering processes or roster management.
Outstanding and warm personalised customer service skills.
Ability to maintain the confidentiality of all company, resident, and employee matters.
Proficiency in using technology and software, including rostering systems and reporting.
High standard of personal and professional presentation.
Must have experience with rostering, and a fast-paced environment
Valid Driver's License.
