Production Coordinator

As our business continues to grow, we are looking for an organised, energetic and ambitious Production & Procurement Coordinator to join our team.

About the Role

Working closely with our General Manager, Senior Client Services Manager, Production team and Designers, you will play a vital role in bringing marketing campaigns to life.

You will coordinate supplier quotations, production scheduling, purchasing, logistics and project administration while learning all aspects of retail display and print production.

Every day is different, and you'll be involved with projects ranging from supermarket displays and pharmacy campaigns through to packaging, promotional products and large-scale retail activations.

Key Responsibilities

Production Coordination

• Assist in coordinating production schedules

• Monitor manufacturing progress and delivery deadlines

• Liaise daily with suppliers regarding artwork approvals, production updates and shipping

• Identify and proactively resolve production issues

• Ensure projects remain on schedule

Procurement & Supplier Management

• Source quotations from local and international suppliers

• Compare supplier pricing, capabilities and lead times

• Prepare quote comparison documents

• Issue purchase orders

• Maintain supplier pricing and databases

• Build strong supplier relationships

Project Administration

• Assist with project setup and documentation

• Update project management systems

• Maintain accurate production records

• Coordinate freight bookings and logistics

• Support inventory and warehouse administration

• Assist with reporting and workflow management

Continuous Improvement

• Identify opportunities to improve processes and efficiencies

• Assist with implementation of AI tools and workflow automation

• Contribute ideas to improve supplier management and operational performance

• Help drive continuous improvement across production and procurement processes

About You

You enjoy being organised, solving problems and making things happen.

You have excellent attention to detail and enjoy working in a fast-moving environment where no two days are the same.

Ideally you'll have experience in one or more of the following:

• Print Production

• Procurement

• Project Coordination

• Marketing or Creative Agencies

• Retail Displays / POS

• Packaging

• Manufacturing

• Supply Chain

• Logistics

You will also have:

• Excellent communication skills

• Strong organisational ability

• High attention to detail

• Ability to manage multiple projects simultaneously

• Strong Microsoft Excel skills

• Experience with Microsoft Office and Google Workspace

• A proactive, positive attitude

• A desire to continually learn and improve

Experience with AI tools such as ChatGPT, Microsoft Copilot or Google Gemini will be highly regarded.
