About the role
We are looking for an experienced Assistant Operations Manager to join our Sydney team. This role plays a crucial part in managing logistics, ensuring compliance with quality standards, and maintaining efficient warehouse operations in Australia and New Zealand. Key Responsibilities:
1. Logistics Management: Liaise with forwarders for all incoming and outgoing shipments We are looking for an experienced Assistant Operations Manager to join our Sydney team. This role plays a crucial part in managing logistics, ensuring compliance with quality standards, and maintaining efficient warehouse operations in Australia and New Zealand. The ideal candidate will be a proactive leader with excellent problem-solving and communication skills, capable of driving operational excellence in our supply chain processes.to ensure timely and cost-effective transportation.
2. Cost Optimization: Obtain and negotiate the best quotes for imports, working to minimize transportation costs while ensuring service quality.
3. Warehouse Coordination: Maintain regular communication with warehouses regarding incoming shipments and resolve any stock-related issues on a daily basis.
4. Shipment Tracking: Maintain the Incoming Shipment Sheet and ensure all customer orders are dispatched promptly, following up on any outstanding orders daily.
5. Account Reconciliation: Reconcile Expo accounts and stock levels for Australia and New Zealand to ensure accuracy.
6. Quality Control: Address any Quality Control (QC) issues and update suppliers on changes to QC standards as required.
7. Product Compliance: Organise testing of all electrical products in collaboration with EMC Technologies, ensuring all necessary paperwork is completed and registered with ERAC/ACMA.
8. Testing Documentation: Update test reports on Amazon Vendor Central and provide regular updates to the head office regarding Australian and NZ standards.
9. Inventory Management: Participate in stocktakes and organise weekly/fortnightly cycle counts for AU and NZ, ensuring accurate stock levels.
10. Export Coordination: Oversee exports to NZ from Australia when required, including generating Sales Orders and Purchase Orders, preparing customs documents, and managing shipping and receival processes.
11. Regulatory Reporting: Manage reporting to the Therapeutic Goods Administration (TGA) and address trade customer queries or problems.
12. Stock Reconciliation: Conduct stock reconciliation in Netsuite, ensuring no discrepancies between warehouse stock on hand (SOH) and inventory records.
13. Product Recalls: Organise product recalls when necessary, coordinating with the Australian Competition and Consumer Commission (ACCC).
14. Stakeholder Communication: Facilitate fortnightly meetings with Amazon and liaise with warehouses to ensure supplier products meet appropriate labelling requirements.
Qualifications:
Bachelor’s degree in Business Administration, Supply Chain Management, or a related field; relevant certifications in logistics or operations management preferred.
Minimum of 3 years of experience in operations management or logistics, preferably in a retail or manufacturing environment.
Proven track record in managing logistics, warehouse operations, and inventory control.
Strong analytical skills and proficiency in inventory management systems (e.g., Netsuite) and standard reporting tools.
Excellent communication and interpersonal skills with the ability to collaborate effectively with internal teams and external suppliers.
Strong problem solving abilities and the ability to handle multiple tasks in a fast-paced environment.
Familiarity with TGA regulations and quality control processes is a plus.
