Exhibitor Customs Coordinator

Expo Event Services We are seeking a motivated and detail-oriented Exhibitor Customs Coordinator to join our team on a full-time basis. In this role, you will be responsible for promoting our conference and event services to potential clients, managing enquiries, and coordinating all aspects of event delivery.

You will work closely with clients, suppliers and contractors to ensure every event runs smoothly, on budget, and to the highest standard.     Benefits Competitive salary in line with experience Supportive and collaborative team environment Opportunities for professional development and career growth Ongoing training to build on industry skills Stable, full-time employment with an established company      Task & responsibilities Coordinate multiple custom exhibition stand projects from quotation acceptance through to event delivery, ensuring all stages are completed on time and within budget. Meet with exhibitors and clients to discuss project requirements and outline design and service options to meet their needs.

Respond to exhibitor enquiries and prepare quotations for exhibition services, including furniture, audiovisual equipment and signage hire. Arrange and coordinate exhibition services including custom stand displays, signage, audiovisual equipment, and freight/transport logistics for exhibitors. Support Custom Stand Account Managers with client communication and business development activities related to exhibitor participation in trade shows and exhibitions.

Coordinate exhibitor registration and order processing, ensuring all exhibitor deadlines and requirements are met. Coordinate supplier quotations and procurement, negotiating costs to ensure project delivery within budget. Oversee work performed by suppliers and contractors, monitoring project timelines and preparing client reports on project progress.

Liaise with international clients, overseas activation agencies and global brand representatives throughout each project. Maintain accurate project records and documentation, and support project reconciliation following each event. Qualification & experience A relevant diploma qualification is required for this role A minimum of 3 years of relevant experience in event organisation, conference coordination or a related field is required  Strong organisational, negotiation and communication skills  Ability to manage multiple projects and deadlines simultaneously
