About the role
Location: SE 1305/401 Docklands Drive, Docklands VIC 3008
We are seeking a highly organised, commercially minded and exceptionally articulate Personal Assistant to work closely with the Managing Director across a portfolio of growing businesses, including Oxcel Finance, Bixcel and Dealercore.
This is a high-trust, part-time position suited to someone who is discreet, proactive, highly organised and capable of working independently while managing competing priorities.
The successful candidate will provide comprehensive support across day-to-day administration, business coordination, stakeholder communication, project management, social media, brand and PR activities.
Key ResponsibilitiesManage the Managing Director’s calendar, appointments and meetings.
Coordinate meetings, prepare agendas, record key actions and manage follow-ups.
Draft, review and refine professional emails, correspondence, reports and business documents.
Coordinate communication with internal teams, clients, partners and external stakeholders.
Act as a trusted point of contact on behalf of the Managing Director when required.
Handle confidential and commercially sensitive information with absolute discretion.
Assist with personal and professional tasks as required.
Support the Managing Director across multiple business initiatives and projects.
Monitor timelines, priorities, deliverables and outstanding actions.
Coordinate information and tasks across different businesses and internal teams.
Assist with documentation, reporting, compliance requirements and business submissions.
Conduct research and prepare summaries, reports and presentations when required.
Proactively identify outstanding matters and ensure they are followed through to completion.
Manage and coordinate the Managing Director’s professional social media presence.
Assist with developing, editing and scheduling professional content.
Coordinate PR, media and corporate communications initiatives.
Liaise with media contacts, PR agencies, marketing teams and external partners.
Ensure communications consistently reflect the appropriate professional image, tone and brand standards.
Monitor social media engagement and provide relevant insights.
We are looking for someone who is professional, intelligent, commercially aware and exceptionally organised.
You will ideally have:
3+ years’ experience in a Personal Assistant, Executive Assistant, Senior Administration or similar role.
Exceptional written and verbal English communication skills.
Excellent attention to detail and a high standard of written presentation.
Strong organisational, time-management and prioritisation skills.
The ability to manage multiple priorities independently.
Strong Microsoft Office and Google Workspace skills.
Familiarity with Canva, LinkedIn, Xero, Monday.com or similar platforms.
Strong interpersonal skills and confidence communicating with senior executives and external stakeholders.
A proactive, solutions-focused approach with a genuine ownership mindset.
The ability to anticipate requirements and exercise sound judgement.

Corporate communications
Marketing and content creation
Finance or professional services
Technology, AI or SaaS businesses
Supporting founders, Managing Directors or senior executives
This is more than a traditional Personal Assistant position.
