About the role
All Saints Anglican School is seeking an organised, proactive and detail-focused professional to join our administration team in the role of Blue Card Officer.
About the Role
The Blue Card Officer is responsible for ensuring the school's compliance with Queensland's Working with Children (Risk Management and Screening) Act 2000 and related legislation. The role ensures that all employees, volunteers, contractors, visitors, homestay providers, Duke of Edinburgh volunteers, and other persons engaged in child-related activities hold and maintain the appropriate blue card or exemption status before commencing and throughout their engagement with the School
The position plays a critical role in supporting the School's commitment to child safety by maintaining accurate records, monitoring compliance requirements, managing legislative reporting obligations, and contributing to the implementation of the School's Child Safe Framework and Child Safe Standards.
The Blue Card Officer is a Full-Time Term-Time role, plus additional hours during School holidays as required.
Key Responsibilities
Blue Card Compliance and Screening
Manage and administer all Blue Card and Exemption Card applications, renewals, transfers, authorisations, linking processes, and updates through Blue Card Services portals and systems.
Verify that all employees, volunteers, contractors and other regulated persons have the required blue card or exemption status before commencing child-related work.
Ensure all required screening checks are completed prior to an individual's commencement of child-related work.
Maintain accurate and up-to-date Blue Card registers and personnel records.
Monitor card expiry dates, renewal requirements, changes in employment status, and other compliance obligations.
Conduct regular audits of Blue Card records and reporting systems to ensure legislative compliance.
Ensure appropriate verification of identity documentation and employment status where required.
Monitor notifications received from Blue Card Services and take timely action in response to changes in card holder status.
Coordinate responses and documentation relating to compliance reviews, audits, and information requests.
Legislative Compliance and Risk Management
Maintain current knowledge of all legislative and regulatory requirements relating to child-related employment and safeguarding obligations.
Support the School in meeting its organisational obligations under the Queensland Blue Card system.
Ensure records are maintained in accordance with privacy, confidentiality, and records management requirements.
Assist in reviewing and updating policies, procedures, and operational processes relevant to Blue Card compliance and child safety.
Identify compliance risks and escalate issues requiring management intervention.
Contribute to internal compliance monitoring and reporting activities.
Administration
Act as the primary point of contact for Blue Card enquiries and provide advice to stakeholders across the School regarding requirements and obligations.
Liaise with Blue Card Services and other regulatory authorities as required.
Collaborate with all school departments to support onboarding and engagement processes and ensure accurate data collection, record maintenance, and compliance monitoring.
Provide general administrative support to the Risk and Compliance Officer as required.
Provide additional administration support as required.
About You
Our ideal candidate will bring:
Proven experience in administration, compliance, human resources, or a related field, preferably within an educational setting.
Strong understanding of confidentiality and privacy requirements.
Excellent organisational skills with high attention to detail.
Experience maintaining accurate records and databases.
Strong written and verbal communication skills.
Ability to manage competing priorities and meet deadlines.
Proficiency in Microsoft Office applications and database systems.
Excellent organisational and time management skills.
Ability to build positive working relationships with staff at all levels
Whilst not mandatory the following would be considered an advantage:
Experience administering Blue Cards or employment screening processes.
Knowledge of Queensland Blue Card legislation and child safeguarding requirements.
Experience in an education, faith-based, not-for-profit, or child-focused environment.
Qualifications in Human Resources, Business Administration, Compliance, or a related discipline.
