Office Assistant - Fluent English and Mandarin required

About the role

Stronghold Engineers is seeking an organised, proactive Office Assistant to support our busy engineering team and help keep the day-to-day operations of the office running smoothly.

Key responsibilities

• Handle incoming calls, emails and general client enquiries

• Make outgoing calls to arrange site inspections and follow up with clients

• Assist with invoicing, accounts and payment follow-ups

• Prepare and issue fee proposals and certification documents to clients

• Monitor engineers' job schedules and update clients on project progress

• Manage and update the company website and social media

• Provide general administrative support to management and the engineering team

• Order and maintain office supplies

• Maintain a professional, tidy office and meeting room

• Other add-hocs and report to director assistant

About you

• Previous experience in office administration or office management is highly recommended

• Professional phone manner and email written skill

• Highly organised with the ability to multitask in a busy environment

• Strong computer skills and confidence using modern technology and AI tools such as ChatGPT

• Experience with Xero is preferred

• Excellent communication and teamwork skills

• You must hold a valid visa to apply for this job

• Engineering or construction industry experience is desirable but not essential

• 6 months probation period
