About the role
Private Family Office | Multi-Industry Group
We are a private family office that owns and operates a group of companies across multiple industries. Our businesses are established and growing, and are built on substantial real-world operations: people, sites, equipment, customers and data.
We are seeking a dedicated AI Solutions Architect to lead that work: designing and implementing AI solutions and workflows that make our operations more consistent and more efficient across every business we own.
The roleThis is a hands-on architecture and implementation role with a clear methodology. You will begin by working alongside our teams to understand current processes as they genuinely operate, before designing improvements and building the AI workflows to support them. Sound process design comes first; automation follows.
You will report directly to the principals and work closely with the leaders of each business. Decisions in our group are made quickly, and well-founded recommendations are acted upon.
Key responsibilitiesWork on-site with teams across our businesses to observe, understand and document current processes
Identify inefficiencies, duplication and inconsistencies across the group, and prioritise improvements by business value
Design improved processes and architect the AI solutions to support them, including automation, document intelligence, reporting, and AI agents and assistants
Build and integrate AI workflows with existing systems, including ERPs, CRMs, spreadsheets and industry-specific software
Provide the practical IT capability that underpins reliable integration, including system access, account configuration and connected devices
Establish appropriate governance across data security, privacy, access and responsible use
Train staff, support adoption, measure results and standardise successful solutions across the group
Core processes across the group are mapped, documented and consolidated for the first time
AI workflows are operating in production across several businesses, with measurable time and cost savings
Operations are more consistent between businesses, with common solutions applied to common problems
Operational teams trust the function, use what has been built, and actively bring forward further opportunities
Demonstrated experience delivering AI or automation solutions into production in operating businesses
Strong hands-on capability with large language models, including prompt design, retrieval-augmented generation, agents, APIs and orchestration
Practical software skills (Python or similar), together with fluency in low-code and automation platforms
Sound general IT capability, including networks, administration consoles, Microsoft 365 or Google Workspace, devices, permissions and user access management
Proven ability to integrate new solutions with established and legacy systems
Excellent interpersonal skills, with the ability to build trust quickly with operational teams and learn how work is genuinely performed
Strong judgement on data security, privacy and the appropriate use of AI
Based in Sydney and able to work on-site full-time
Desirable: a background in IT support or systems administration, continuous improvement or process mapping experience, exposure to operational industries, data engineering, or experience leading adoption and training programs.
Location and working arrangementsThis position is based at our Sydney CBD office and is an on-site role; it is not offered on a hybrid or remote basis. Regular travel to our sites across the Sydney metropolitan area, typically every few weeks, is a core requirement of the position. Direct engagement with staff on the ground is central to how this role succeeds: current processes cannot be properly understood, and improvements cannot be properly embedded, at a distance.
What we offerA rare mandate: portfolio-wide scope and senior sponsorship for AI adoption from day one
Direct access to the principals and genuine influence over how the group operates
The opportunity to build a group-wide capability from the ground up
Competitive salary package plus superannuation
Permanent, full-time position with an immediate start available
As a private family office, we maintain a deliberately low public profile, and this position is advertised confidentially for that reason. We extend the same discretion to applicants: all applications and conversations are handled in strict confidence. Shortlisted candidates will be provided with full details of the group, will meet the principals, and will receive a prompt decision.
